How to validate Checklists

Validation adds a second set of eyes to completed Checklists. Set up a Schedule for validation, create a Reviewer role, assign Reviewers, then approve or disapprove Results from the mobile app or the Backend.

Overview

Validation confirms that completed Checklists meet your standards before their Results count — a second set of eyes on the outcome. It can be done from both the mobile app and the Backend.

Users must be Super Users or have the following Role and prerequisite to validate Checklists:

  • Results: Validate

  • Be part of the Reviewer group on the relevant Schedules

Why this matters: For safety- and compliance-critical checks, "marked complete" isn't the same as "verified correct". Validation routes those Results to a qualified Reviewer, so sign-off is deliberate and auditable rather than assumed.


Setting up validation

Two things must be in place: the Schedule has to require validation, and Reviewers need permission to approve or disapprove.

1. Enable validation on the schedule

  1. Go to Schedules and open the Schedule.

  2. Click Edit > Settings and scroll to Compliance.

  3. Toggle on Mark all Results as requiring validation (or any of the other deviation triggers), then click Save.

2. Create a Reviewer role

Reviewers need permission to approve or disapprove Results. These are the minimum permissions:

  1. Go to Roles and click + Create.

  2. Name the Role (e.g. Reviewer).

  3. In the Results section, enable Validate and Validate Missing, then click Save.

3. Assign Reviewers to the schedule

  1. Go to Schedules and open the Schedule.

  2. Click Edit > Settings.

  3. Add the Users or User Groups to the Review section.

Note: Add your Reviewers before the Schedule goes live — without them, there's no one to validate Results.


Validating a checklist

You can validate from the mobile app or the Backend — each has its strengths.

From the mobile app

Best for approvals on the go, and for Reviewer-only questions that the Reviewer completes during validation.

  1. Open the Checklist tile.

  2. Tap the double check-mark with the red indicator (the number awaiting review).

  3. Select the Checklist, review it, and tap Done.

  4. Choose Approve or Disapprove — when approving, add optional comments and attachments, then confirm.

From the web app

Best for bulk validation, invalidating Results, and detailed Result information (map view, timestamps, answer history). Results show one of these statuses:

  1. Go to Results.

  2. Select the Result you want to validate.

  3. Click Approve, Disapprove, or Invalidate based on its status.


Frequently asked questions

Q: What makes a Result require validation?
A: Either the Schedule marks all Results for validation, or a deviation trigger fires. See Configure deviations to trigger result validations.

Q: Why can't a User validate even with the Validate permission?
A: They also need to be in the Reviewer group on that Schedule. Both the permission and the Reviewer assignment are required.

Q: Can I undo an approval?
A: Yes — from the Backend you can invalidate a Result to return it to an unvalidated state.
