In Mobaro, Users can gain Certifications in two ways: an administrator manually creates and assigns the Certification from the Mobaro Backend, or the User completes a Certification Process from the Certification Center in the Mobaro mobile app. This article covers both paths, plus how to manage expiration and renewal.
Why Certifications matter: Certifications are Mobaro's audit trail of who is qualified to do what. They gate access to Schedules and RideOps Locations that require specific Competencies, and they expire — meaning your record of qualified operators stays current rather than becoming a stale list of names from years past.
What's covered:
How Users gain Certifications
There are two ways for a User to gain a Certification in Mobaro:
Manual assignment — an administrator creates the Certification on the User's behalf from the Certifications page in the Mobaro Backend. Used when the User has already completed the qualification outside of Mobaro and you're recording the result.
Certification Process — the User completes a defined sequence of tasks (typically a Checklist made as a training module or knowledge assessment) from the Certification Center in the Mobaro mobile app. Used when Mobaro itself is the system of record for the qualification work.
When to use which path
Pick manual assignment when:
The training or qualification was completed outside Mobaro (in-person classroom, vendor course, regulatory exam)
You're recording legacy Certifications during onboarding or migration
You need to grant a Certification administratively — for example, a temporary qualification while a new operator is in training
Pick a Certification Process when:
The qualification work itself happens inside Mobaro — for example, an in-app Checklist as a training module
You want a repeatable, auditable process every User goes through identically
You want renewals to flow through the same process
Manually assigning a Certification
Administrators can manually create and assign Certifications from the Certifications page in the Mobaro Backend.
Open the Certifications page
From the Mobaro Backend, go to Competencies > Certifications.
Open the editor
Click + Create to open the Certification editor.
Fill in the Certification details
Add Users — select the User or Users who will receive the Certification
Add Competency — choose the Competency the Certification grants
Set expiration — by default, Certifications use
Never expires. To set a date instead, uncheckNever expiresand pick a date underExpiration dateMark as due for renewal (optional) — enable
Mark as due for renewalto automatically reactivate the associated Certification Process when the renewal date arrivesAdd attachments (optional) — upload supporting documentation such as a scanned certificate, training record, or proof of completion
Save the Certification
Click Save to finalize the Certification. The assigned Users see the Certification in their profile immediately, and the linked Competency is granted.
Earning a Certification through a Certification Process
Users can earn Certifications by completing predefined Certification Processes from the Certification Center in the Mobaro mobile app. Certification Processes are typically tied to in-app Checklists or training tasks.
Open the Certification Center
Open the Mobaro mobile app and tap Certification Center from the main menu.
Start a Certification Process
Under the Certification tab, select an available process and follow the assigned Checklist or task sequence as defined by the process.
Receive the Certification
Once all steps are completed and validated (where applicable), the Certification is awarded automatically. It appears under the Competencies tab in the Certification Center, and the linked Competency is granted to the User.
Viewing Certifications
Users see all of their Certifications and current expiration statuses under the Competencies tab in the Certification Center on the Mobaro mobile app.
Administrators can review Certifications across all Users from the Certifications page in the Mobaro Backend, with filtering by User, Competency, expiration status, and renewal flag.
Note: Certifications integrate with Schedules and RideOps. A Schedule that requires a specific Competency only allows Users with an active Certification for that Competency to run the Checklist.
Renewing Certifications
Certifications with the Mark as due for renewal flag enabled automatically reactivate their associated Certification Process when the renewal date arrives. This lets Users retake the Certification Process and renew their Certification before it expires.
How renewal works
Enable renewal at creation — when creating or editing a Certification, enable
Mark as due for renewaland set an expiration date by day rangeProcess reactivates on the renewal date — the associated Certification Process becomes active again in the Certification Center, allowing the User to retake it
User completes the process — the User must complete the reactivated Certification Process, including any required tasks or validation, to extend the Certification
Tip: Administrators can monitor renewal progress from the Certification Processes page to make sure renewals complete before expiration. The Competency Overview Dashboard widget is the best surface for this at a glance.
Important: When a Certification expires without being renewed, the User loses the associated Competency. They will no longer be able to run Schedules or log into RideOps Operator or Attendant positions that require that Competency until the Certification is restored — either by completing the Certification Process again or by an administrator re-issuing it manually.
Frequently asked questions
Q: What happens if a Certification is not renewed before its expiration date?
A: The Certification expires and the User loses the associated Competency. To regain it, the User must complete the Certification Process again, or an administrator must manually re-issue the Certification.
Q: Can Certifications with no expiration date be renewed?
A: Certifications marked Never expires do not require renewal. If renewal becomes necessary, edit the Certification, set an Expiration date, and enable Mark as due for renewal.
Q: How do Users know when a Certification is due for renewal?
A: Users see upcoming renewals in the Certification Center on the Mobaro mobile app. Administrators can also surface upcoming renewals through the Competency Overview Dashboard widget and notify Users directly when needed.
Q: Can administrators override the renewal process?
A: Yes. Administrators can manually re-issue the Certification without requiring the User to complete the Certification Process.
Q: Can the same Certification Process be used for both initial certification and renewal?
A: Yes. The same Certification Process handles both. When Mark as due for renewal is enabled, the process reactivates on the renewal date and the User retakes it the same way they took it the first time.
