Calendar schedules — setup and behavior

Set up a Calendar Schedule with Patterns, Specifics, master Calendars and Exclusions, including monthly dates, overnight slots and park closures.

Overview

A Calendar Schedule makes Checklists available in time slots. Slots come from weekday-based Patterns, one-off Specifics on dates you choose, and master Calendars the Schedule inherits. Each slot has a start and a deadline, and — if you tick Allow grace period — an End of grace period: extra time after the deadline in which the Checklist can still be completed. Compliance is tracked per slot: a Checklist not completed by the end of the slot (the end of the grace period, or the deadline if there is none) becomes a Missing Result.

A Calendar Schedule is not a Location's opening hours: it controls when a Checklist is available, while opening hours define the operating window for Downtime calculation (see Add opening hours to a Location).

💡 Why this matters: Calendar schedules produce a time-bounded record — "run at 7:52am for the 8am pre-opening slot." Continuous schedules don't offer that time accountability.


When to use a Calendar schedule

Use a Calendar schedule when the timing of the task is part of the record — pre-opening inspections, shift-change audits, end-of-day reconciliations — and:

  • A task must happen at a specific time, and compliance requires proof it ran within a window.

  • A missed task should show as a Missing Result and on the dashboard.

  • You want late completion flagged with Require timely answer.


Set up a Calendar schedule

1. Go to Schedules

Open Schedules in the Mobaro Backend.

2. Click Create

Click Create and choose Calendar Schedule.

3. Fill in General

Enter a Title, an optional Description, and the slots' Time Zone — which can only be chosen now, at creation.

4. Choose Checklists in What?

Choose the Checklists to make available.

5. Choose targets in Where?

Choose Applies to (Locations/Location Groups) and any Exclusions (Locations/Location Groups), or set Target type to Assets if you have Scheduling functionality for assets.

6. Add people in Who?

Add Assigned to (Users/User Groups), Reviewers (Users/User Groups) and Owners (Users/User Groups), and choose Results visible to. See Schedule stakeholders: assignees, reviewers, and owners.

7. Set Compliance

Choose the compliance settings (see below).

8. Save the Schedule

The buttons for adding slots appear in the Schedule's header once it's saved.

9. Add slots

Use Patterns, Inheritance and Exclusions in the header, or click a date to add a Specific (see below). Toggle Show full slot length (include grace period) to see grace periods on the calendar; Settings reopens the Schedule's configuration.


Add Patterns for weekly slots

A Pattern creates a slot on each selected day of the week, at the same start and end time, between its start and expiration dates. Add one with Patterns › Add Pattern and set a Title, the days it is Available every (at least one), a start and end time, and optionally Allow grace period, Set Start Date, Set Expiration Date and Reminders. A Schedule can have several Patterns — one per time of day, or per set of days with different times. See Pattern slots: scheduling a recurring cadence.

⚠️ Heads-up: Patterns only repeat weekly: there is currently no "every N days", "every other week" or monthly Pattern — add a Specific for each date, or create an Ad Hoc Slot. A Pattern's end time must be later than its start time on the same day; for a slot past midnight, use a Specific.


Add Specifics for one-off slots

A Specific is a one-off slot on a date and time you choose, such as a special event. Click a date on the calendar to open Configure Specific and set its start and end, and optionally Allow grace period and Reminders. Use values as preset when creating new specifics reuses the times for the next date you click. You can't add a Specific to a past date.

🛑 Critical: Deleting a Specific that is already active does not create Missing Results for its active Checklists. If they should become Missing Results, change the Specific's end time to now instead.


Inherit a master Calendar

Every Schedule that inherits a master Calendar shares its Patterns and Specifics. Click Inheritance in the Schedule's header to open Configure Calendar Inheritance, choose a Calendar and click Add Calendar. Its slots are edited in that Calendar, not the Schedule, and each Calendar can be inherited only once per Schedule. See Creating a master Calendar and Inheriting a master Calendar into Schedules.


Skip slots with Exclusions

Click Exclusions › Configure Exclusions › Add Exclusion to skip slots for a period, such as a park closure or special event. Give it a Reason, a start and an end; overlapping Pattern slots are skipped. Tick Exclude Specific Slots to skip Specifics too. An Exclusion on the Schedule also applies to slots inherited from master Calendars; an Exclusion on a master Calendar applies to that Calendar's slots. Overlap is checked against the slot's start and deadline — the grace period isn't counted.


Calendar schedule compliance options

Calendar Schedules offer the full set of compliance settings:

  • Allow early start (up to 28 days early, once the previous slot has ended) and Ignore missing results (no Missing Results for this Schedule).

  • Mark all results as requiring validation, Require correct GPS location, Require maximum score, Require minimum answer duration and Require validation on rule deviation (Water Quality only).

  • Require timely answer (flags Results completed after the deadline, including during the grace period).

  • Is critical for operation (Always, When overdue or When missing) and Enable Time Registration (Optional or Required).

  • Required Competencies, optionally with Restrict access based on required competencies.

Reminders are set per Pattern or Specific instead — see Adding reminders to Schedules. For what each option does, see Schedule compliance settings; for grace periods, see Adding Grace Periods to Schedules and Calendars.


Missed slots and late completion

  • Completed before the deadline — on time.

  • Completed during the grace period — accepted; marked as requiring validation if Require timely answer is on.

  • Not completed by the end of the slot — a Missing Result is created for each Checklist and Location (or Asset), unless Ignore missing results is on. Approve or reschedule them from Missing Results — see Approving or rescheduling missed Results.

⚠️ Heads-up: Missing Results are the core signal a Calendar schedule produces. With Ignore missing results on, missed slots leave no record to handle — and you lose the main benefit of a Calendar type.

Missed slots don't create Assignments automatically. By default, a Missing Result turns its Location red on the Location Overview — see Schedule criticality and Location operational status.


Common Calendar schedule patterns

  • Daily pre-opening inspection — a Pattern Available every day, 7:45–8:30, grace period until 9:00, Critical for operation (Always): the ride shows as not ready until the inspection is done, and a Missing Result is created for a Reviewer if it isn't done by 9:00.

  • Weekly deep-clean audit — a Pattern every Monday, 6:00–10:00, for each F&B location; the window is wide because the audit is substantial.

  • Monthly fire-safety check — because Patterns are weekly, a Specific on the first of each month, each with a 48-hour window; after that, a Missing Result is created for the Schedule's Reviewers.

Frequently asked questions

How do I schedule a checklist monthly, every 2 weeks or yearly?

Patterns only repeat on days of the week, so there's no monthly, fortnightly or yearly Pattern. Add a Specific for each date instead (on a master Calendar if several Schedules share them), or create an Ad Hoc Slot for a one-off.

How do I skip days when the park is closed?

Add an Exclusion for the closure (Exclusions › Configure Exclusions › Add Exclusion). It skips Pattern slots (tick Exclude Specific Slots for Specifics too) for every target of that Schedule or master Calendar, so for a one-park closure, use a separate Schedule or Calendar. Started slots aren't removed.

Can a Pattern run past midnight, for example 8pm to 1am?

No. A Pattern's start, deadline and end of grace period must all fall on the same day, so a grace period can't run into the next day either. For an overnight slot, add a Specific, which has its own start and end dates.

How do I add a checklist to a schedule, or link a master calendar?

Click Settings in the Schedule's header and choose the Checklists in What?. To link a master Calendar, click Inheritance in the header and add it. See Inheriting a master Calendar into Schedules.

My calendar schedule has expired. How do I extend it?

Edit its Patterns, in the Schedule or in the master Calendar it inherits, and move or untick Set Expiration Date. A Calendar Schedule expires after its last Pattern or Specific slot; if any Pattern has no expiration date, it doesn't expire.

Can a checklist run several times a day, or at different times on different days?

Yes. Each Pattern has one start and end time, so add a Pattern for each time of day (for example, "Opening" and "Closing") or for each set of days with different times, all on the same Schedule.
