Configuring app settings and app area availability rules

Set mobile app behavior for your organization and use App Area Availability Rules to hide home screen tiles for User Groups, including how rules combine.

Overview

App Settings control how the Mobaro mobile app behaves for everyone in your organization. App Area Availability Rules, on the same tab, hide app Dashboard areas (the tiles on the app home screen) for chosen User Groups, and combine in a way that surprises people.

💡 Why this matters: App Settings set data-handling and accountability behavior on every device. Area rules simplify the app for frontline staff (an operator who only runs checklists doesn't need Reports) without changing Roles.


Open App Settings

1. Open Configuration

In the Mobaro Backend, go to Configuration.

2. Open the App Settings tab

Select the App Settings tab: App Settings on the left, App Area Availability Rules on the right. Each panel has its own Save icon and saves separately.

Each option affects all users in the organization. All options are off until you turn them on.

Setting

What it does and when to use it

Show current user prompts in the app

After the Hours and Minutes you set (both required; minutes 0–59), the app shows Logged in as {name} with Continue or Logout. The time counts from login, and Continue restarts it. Useful on shared devices.

Disable saving locally

Leaving a checklist with progress always saves it to the cloud, not only the device; the Save progress in the cloud option is hidden. Saving needs a connection, or the user can discard. Doesn't apply to validation or certification checklists, which can't be saved to the cloud.

Disable "allow others to resume"

Hides Allow others to resume, so only the person who started a checklist can resume it from the cloud.

Disable starting new when resumable exists

Hides Start a new result when a resumable result exists in the cloud: anyone's for calendar schedules, the user's own for other schedules. (It's never offered while the device holds local progress for the checklist.)

Disable confirmation modal when changing answers

Turns off the warning "Changing this could result in loss of cloud data or assignment that was triggered by previous answer. Are you sure you want to proceed?", shown when a change could affect an assignment the previous answer triggered, or when changing an answer in a resumed checklist. Leave this off where an accidental change matters; turn it on only for high-volume, low-risk workflows.

To save, click the panel's Save icon (top right): App settings saved successfully.

⚠️ Heads-up: App Settings apply to every mobile app user in the organization and can't be set per User Group. To vary what people see by group, use App Area Availability Rules.


App Area Availability Rules

These rules hide Dashboard areas for chosen User Groups. A hidden tile is blanked out, and tapping it shows "Access to selected area denied, ask your organization for access if needed." Rules don't change Roles or permissions. A rule can only hide a tile, never show one the user wouldn't otherwise get, and the PROFILE tile can't be hidden.

"Greyed out offline" means the app has no connection to Mobaro. See Working online versus offline with Mobaro.


Add an app area rule

1. Add a rule

In the App Area Availability Rules panel, click + (Add area availability rule) to open Area availability rule details.

2. Name the rule

Enter a Name (required) saying who the rule is for and why, for example Operators: checklists only.

3. Choose User Groups

Use Add group under User Groups to limit the rule. Left empty, it applies to all users and affects everyone else's rules; see How app area rules combine.

4. Switch on the areas to hide

In the Area name / Disabled list, turn on Disabled for each area to hide. A rule with nothing disabled isn't harmless: it un-hides every area for its members, even areas other rules hide.

5. Save the rule and the panel

Click the check icon (Save) in the dialog, then the panel's Save icon: App area availability rules saved successfully. Nothing is stored until you save the panel.

The app picks up changes when it next loads data and its copy is over 15 minutes old, or at once if the user taps the Dashboard refresh icon. Offline, it keeps the last rules it downloaded.


How app area rules combine

A rule applies to a user when it has no User Groups, or the user is in one of its groups.

  • No rule applies: the user sees every area.

  • One rule applies: the areas it disables are hidden.

  • Several rules apply: an area is hidden only if every applicable rule disables it.

⚠️ Heads-up: If even one applicable rule leaves an area on, the user sees it. So a "full access" rule (nothing disabled) un-hides every area for its members; a rule with no User Groups applies to everyone, so any area it leaves on can't be hidden by another rule; and adding someone to an extra group can give them more areas, not fewer.


Hide an area for one group

  1. Create a rule for that group with the area disabled.

  2. Check every other rule that could apply to them (unscoped rules, rules for their other groups). Each must disable the area too, or be deleted.

  3. Don't create "everything on" rules for other groups; people with no applicable rule already see every area.

  4. Test with one member: refresh the app and check the tile is blanked out.

To hide an area for everyone except one group, create a rule with no User Groups that disables it, plus a rule for that group leaving it on. The second rule also un-hides everything else the first disables.


Example: ride operator app rules

Scenario. Ride operators only need checklists and operations; shift leads need everything. Some senior operators are in both the Operators and Shift Leads User Groups.

Setup. Rule Operators: simplified app for Operators disables Reports, Assignments, Gallery and Library. Rule Shift Leads: full toolset for Shift Leads disables nothing.

Result.

  • Pure operators get the simplified app.

  • Pure shift leads see every area (they would with no rule, too).

  • Senior operators in both groups see every area, because the Shift Leads rule leaves those four areas on.

To give senior operators the simplified app, delete the Shift Leads rule (pure shift leads still see everything), or disable the same four areas in it.


Edit or delete an app area rule

In the App Area Availability Rules panel, select a rule to show the edit and delete icons above the list.

Edit: click the pencil icon or double-click the rule, make changes, click the check icon, then Save on the panel. Cancel doesn't undo dialog changes; they're stored at the next panel save. To discard them, reload the page first.

Delete: click the trash icon, then Yes, then Save on the panel.

🛑 Critical: Once saved, deleting a rule can't be undone, and it can hide areas as well as show them: if it was leaving an area on for some users, their other rules now take effect. You can't pause a rule; clearing its areas turns it into a rule that un-hides areas. Note a rule's settings before deleting it.


Best practices

  • Name rules by audience and intent (Operators: checklists only), not by the areas they disable (Disable Reports + Gallery).


Frequently asked questions

I don't have the Certification Center tile on my home screen. Why?

The tile appears once you hold a current Certification or have a Certification Process available as an Assignee or Assessor. If it's blanked out and tapping it says "Access to selected area denied", an app area rule hides it. See Using the Certification Center in the mobile app.

Can I use an app area rule to stop a User Group seeing Reports or results?

Not on its own. A rule only hides the Dashboard tile; it doesn't change Roles or permissions. To stop someone seeing Results, change their Role. See How access works in Mobaro.

Why doesn't a user have the Operations tile?

The user must have access to at least one Location with Enable Operational Logging on. If Limit location operational state management to (user groups) in Configuration › Locations lists any groups, the user must also be in one of them. See Managing Downtime and uptime from the mobile app.

Can I have different App Settings or a different app dashboard for each User Group?

App Settings: no, they apply to everyone in your organization. Dashboard tiles: yes, use App Area Availability Rules to hide areas for chosen User Groups.

A user is in two groups with different app area rules. What do they see?

They see an area unless both rules disable it. See How app area rules combine.

A user still sees an app area I disabled. Why?

Usually another applicable rule leaves it on: an unscoped rule, a "full access" rule, or a rule for another of their groups. Otherwise, ask them to tap the Dashboard refresh icon.
