Gaining and managing Certifications

How Users gain Certifications, manually or through a Certification Process in the mobile app, and how expiration, renewal dates, and retaking a Process work.

Overview

Users gain Certifications in two ways: an administrator creates one manually in the Mobaro Backend, recording a qualification completed outside Mobaro; or the User completes a Certification Process — a training Checklist such as a training module or knowledge assessment — in the mobile app's Certification Center (or an assessor completes it for them), when Mobaro is the system of record for the qualification work. This article covers both paths, plus expiration and renewal.

💡 Why this matters: Certifications are Mobaro's record of who is qualified to do what. They're checked against the Competencies Schedules and RideOps Locations require, and they can expire — so your record of qualified operators stays current, not a stale list of names.


When to use each path

Pick manual assignment when the training was completed outside Mobaro (in-person classroom, vendor course, regulatory exam), you're recording legacy Certifications during onboarding or migration, or you need to grant a Certification administratively — for example, a temporary qualification while a new operator is in training.

Pick a Certification Process when the qualification work happens inside Mobaro (for example, an in-app Checklist as a training module), you want a repeatable, auditable process every User goes through identically, or you want renewals to flow through the same process.


Assign a Certification manually

1. Open the Certifications page

In the Mobaro Backend, go to Competencies › Certifications.

2. Open the editor

Click Create to open the Certification editor.

3. Fill in the Certification details

  • Users — select one or more Users. Mobaro creates a separate Certification for each User.

  • Competency — the Competency the Certification grants.

  • Expiration — Never expires is ticked by default. To set an end date, untick it and pick an Expiration date (it starts at one year from today).

  • Mark as due for renewal (optional, only when the Certification expires) — tick it and pick a Renewal date. It starts at one month before the expiration date and can't be later than it. From that date, the Certification shows as Due for renewal, and Certification Processes that award the same Competency become available to the User again — see Renew a Certification.

  • Details (optional) — notes, and supporting documentation such as a scanned certificate, training record, or proof of completion.

4. Save the Certification

Click Save. The linked Competency is granted straight away: it appears in each User's Certification Center in the mobile app, and Users with push notifications turned on for awarded Competencies are notified.

⚠️ Heads-up: Once saved, a Certification's User and Competency can't be changed — only its notes, expiration, renewal, and attachments. To correct the User or Competency, delete the Certification and create a new one. See Deleting Certifications.


Earn a Certification through a Process

Users earn Certifications by completing the Certification Processes they're assigned to, from the Certification Center in the mobile app. Each Process is tied to a Checklist. To set one up, see Create a Certification Process.

1. Open the Certification Center

Open the Mobaro mobile app and tap the Certification Center tile on the home screen.

2. Start a Certification Process

On the Certification tab, under My Certifications, select an available Process and complete its Checklist.

3. Receive the Certification

Once the Checklist is completed — and approved by a reviewer, where the Process requires validation — the Certification is awarded automatically. The Competency appears under Active on the Competencies tab. While it waits for a reviewer, it shows Awaiting approval.

View Certifications

In the mobile app, Users see their own Competencies under Active on the Competencies tab, with each one's expiration date. The app doesn't show a due-for-renewal status, and it only downloads Certifications that haven't expired, so an expired Competency shows under Expired only until the app next refreshes its data.

In the Backend, the Certifications page lists all Users' Certifications and requires Competencies › View or Administrate. Filter by Competency, User, and Certification Process. Each Certification shows its expiration, marked Due for renewal or Expired where that applies. Expired Certifications are hidden until you turn on Include Expired (the clock icon in the filter bar).

Certifications are checked against Required Competencies on Schedules and in RideOps. On a Schedule, a User without a valid Certification can still see the Checklist; when they start it, the app shows a Missing Competencies dialog. With Restrict access based on required competencies ON they can't start it. With it off they can choose Start anyway, and the Result is flagged and marked as requiring validation. Renew a Certification

A Certification can have a renewal date before its expiration date, so the User can retake a Process and extend their Certification before it expires.

Where the renewal date comes from:

  • Manual Certifications — tick Mark as due for renewal and pick a Renewal date in the Certification editor.

  • Process-awarded Certifications — tick Mark as due for renewal in the Process's Competency Expiration settings. For Relative to process completion, set Mark as renewal after (days) — days after the Certification is awarded. For At an exact date, pick a Renewal date.

How renewal works:

  • Renewal date passes — the Certification shows as Due for renewal on the Certifications page, in the User and Competency editors, and in the Competency Overview Dashboard widget.

  • The Process becomes available again — any Certification Process that awards the same Competency, and has the User as an Assignee, reappears in their Certification Center, as long as they hold its Required Competencies and completing it would push the expiration date later. A Process also reappears once the Certification has expired.

  • User completes the Process — including any required validation, and receives a new Certification with a new expiration date.

⚠️ Heads-up: A Certification Process only reappears for a User if it can extend every active Certification they hold for that Competency. If the User also holds a manual Certification for the same Competency that never expires, or has no renewal date, the Process stays hidden until that Certification expires.

🛑 Critical: When a Certification expires without being renewed, the User no longer holds the Competency. They can't sign in to RideOps Operator or Attendant positions that require it, and Schedules that require it show them the Missing Competencies dialog — blocking them if Restrict access based on required competencies is on. This lasts until they hold a valid Certification again, by completing a Certification Process or by an administrator creating a new one manually.


Best practices

  • Watch renewals yourself. Mobaro currently doesn't send reminders before a Certification is due for renewal or expires. Use the Competency Overview widget or the Certifications page to see who is due for renewal, and the Progress column on the Certification Processes page to see who has completed each Process. Frequently asked questions

Where is the Certification Center, or my training?

It's the Certification Center tile on the Mobaro mobile app home screen. If you don't have the tile, see Using the Certification Center in the mobile app.

How do I give a competency to an employee?

Create a Certification for them: go to Competencies › Certifications, click Create, pick the Users and Competency, and Save. To have them earn it instead, add them as an Assignee on a Certification Process. You need Super User or Competencies › Administrate.

A user is due for renewal, but the certification isn't in their Certification Center. Why?

A Process only reappears once every current Certification they hold for that Competency is past its renewal date and expires earlier than the Process would grant. A manual one with Never expires, no renewal date or a later expiration blocks it: edit its dates or delete it.

When a certification is due for renewal, will the user get the checklist again automatically?

Yes, if the Process marks it as due for renewal. Once the renewal date passes, the same Certification Process reappears in the User's Certification Center and they retake it. Without a renewal date, it reappears only after the Certification expires. Nothing is extended until they complete it.

Can I make someone redo a certification?

There's no button for it. Invalidate the Result that awarded their Certification: this revokes it until they pass again, and the Process reappears. Disapprove also revokes it, but if the Process has Require Validation on, it stays blocked until you invalidate the Result. For a manual Certification, edit its dates.

How does an employee get notified that they need to renew a certification?

The app shows no due-for-renewal status and sends no reminder; instead, a Certification Process that awards the Competency reappears in their Certification Center once the renewal date passes. Administrators see who is due on the Certifications page and Competency Overview widget, and follow up directly.
