Approving or rescheduling missed Results

Approve or reschedule Missing Results: who can do it, the steps, undoing it with Reject approval/reschedule, and getting notified.

Overview

When a scheduled Checklist isn't completed by the end of its slot, Mobaro records a Missing Result. Missing Results stay open until someone handles them in Results › Missing Results: approve the miss when it was acceptable, or reschedule it when the work still has to happen. Both are recorded with your comment, and both can be undone with Reject approval/reschedule.

💡 Why this matters: A Missing Result asks one question: do we accept that this didn't happen, or does it still need to happen? Approving says "accepted", rescheduling says "do it now". Either way, the comment you leave is what an auditor will read later.


What a Missing Result is

A Calendar slot or Ad Hoc Slot ends at its deadline, or at the end of its grace period if it has one. Any Checklist not completed by then becomes a Missing Result for that Location (or Asset), unless the Schedule has Ignore missing results turned on. Continuous Schedules have no slots, so they never produce Missing Results — see Continuous schedules — setup and behavior.

Approve a Missing Result

Approve when the miss was acceptable — the Location was closed, or the work wasn't needed that day. The Missing Result stays on record, marked as approved.

1. Open Missing Results

Go to Results › Missing Results.

2. Select the Missing Results

Tick the Missing Results to approve. You can select up to 100 at a time.

3. Click Approve missing result(s)

Click Approve missing result(s) in the toolbar.

4. Add a comment and approve

In Approve Missing Result(s), enter a Comment that says why the miss is acceptable, attach files if useful, and click Approve. The list then shows who approved it and when.

🛑 Critical: If a Checklist is critical for operation, approving its Missing Result can make the Location show as ready again even though the check was never done. For a safety check the ride still needs, reschedule instead of approving.


Reschedule a Missing Result

Reschedule when the work still has to happen. Rescheduling creates a new Ad Hoc Slot for that Checklist and Location; the original Missing Result stays on record, marked as rescheduled.

1. Select the Missing Results

In Results › Missing Results, tick the Missing Results to reschedule.

2. Click Reschedule missing result(s)

Click Reschedule missing result(s) to open Configure Reschedule.

3. Give a reason

On the Reason tab, optionally add a comment. If assignees had started the Checklist, the Resumable Results tab lets you choose Allow assignees to continue unfinished results, so they can finish it in the new slot.

4. Configure the new slot

Click Configure. On the Configuration tab, set the new times (optionally Allow grace period), the assignees and reviewers (Use assignees from the original slot and Use reviewers from the original slot), Reminders, Notify assignees when scheduled checklist(s) becomes available and the Compliance settings. Then click Reschedule.

ℹ️ Note: If the missed Checklist is critical for operation, the rescheduled Checklist inherits that by default, so the Location stays not ready until it is completed. You can change the criticality setting while you reschedule. See Ad Hoc Slots — setup and behavior.


Undo an approval or reschedule

Select the handled Missing Results in Results › Missing Results and click Reject approval/reschedule for the missing result(s). Add a Comment and click Reject. The Missing Result goes back to Missing. If it was rescheduled, the new Ad Hoc Slot is deleted if it hasn't started, or — if it's still running — ended straight away without creating new Missing Results. The same permissions apply as for approving.


Choose approve or reschedule

  • Park or ride closed (weather, power cut, planned closure) → approve. The work didn't need to happen.

  • Operator absent, work still required → reschedule to another qualified user.

  • Safety or regulatory check → reschedule, with a comment on the urgency.

  • The same miss every week → approve, then fix the Schedule so it stops producing misses.


Handle Missing Results in the mobile app

🚀 Early access: Approving and rescheduling Missing Results in the mobile app is an early-access feature. Ask your CSM if you'd like it turned on.

Where it is turned on, Reviewers find Missing Results under Review › Missing Results in the app and choose Approve or Reschedule. Rescheduling in the app also needs Super User access or Schedules › Create.


Best practices

  • Always add a specific comment, such as "Park closed early due to weather", never just "OK" — even when you approve in bulk.

  • Use bulk approval only for misses with one shared cause.

  • If you keep approving the same kind of miss, change the Schedule rather than rubber-stamping it.

  • When you reschedule, check that the new assignees hold any required Competencies and that the new time is realistic, or you'll get a second Missing Result.


Frequently asked questions

Why can't a user approve missing checks?

Three things: a Role with Results › Validate Missing, to be a Reviewer on the Schedule or Ad Hoc Slot (directly or through a User Group), and to be a member of the Location. Super Users don't need to be Reviewers. Rescheduling also needs Schedules › Create.

How do I approve or clear lots of missing results at once?

Select up to 100 in Results › Missing Results and click Approve missing result(s); one comment applies to all of them. Missing Results can't be deleted — approving is how you clear them. Filter by Location, Checklist or time range first.

Can managers get an email or notification about missed checklists?

Yes. Reviewers with Validate Missing can get the Missed results digest, a periodic notification of new Missing Results. For an email, set up a Summary Report notification rule, which includes missed Checklists — see Create and manage Notification Rules.

Can I still complete a checklist after it went missing?

Not in the original slot — it has ended. Reschedule the Missing Result to create a new slot. If someone had started it, tick Allow assignees to continue unfinished results so they can finish it rather than start again.

Why is the ride still not ready after I rescheduled a missed check?

A rescheduled Checklist inherits Is critical for operation by default, so the Location stays not ready until the new slot's Checklist is completed. Complete it, or change its criticality when you reschedule.

Can I undo an approval or reschedule?

Yes. Select the Missing Result and click Reject approval/reschedule for the missing result(s), then add a comment. It goes back to Missing, and any rescheduled Ad Hoc Slot is removed or ended.
