Create and manage Notification Rules

The five Notification Rule types, how to create, disable and delete Rules, and what to check when a report or push notification is missing.

Overview

Notification Rules send Mobaro emails and push notifications automatically: a report when a Checklist Result comes in, a summary or forecast on a schedule, or a push when scheduled Checklists become available. This article covers the five Rule types, how to create and manage Rules, and what to check when a notification doesn't arrive. Each type also has its own article with every setting.

💡 Why this matters: A small set of well-targeted Rules covers most day-to-day communication — inspection results to Compliance, daily summaries to Park Directors, availability pushes to frontline staff — without flooding people with messages they don't need.

Create a Notification Rule

1. Open Notification Rules

In the Mobaro Backend, click Notification Rules in the sidebar.

2. Choose a Rule type

Click the + button (Create) and pick Result Report, Summary Report, Availability Notification, Work Forecast Report or Operations Report. Operations Report appears only if your organization has it enabled. A Rule's type can't be changed later; create a new Rule instead.

3. Name the Rule

Enter a Name that tells the next admin what the Rule does, and optionally a Description of its purpose and owner.

4. Configure and save

Each type asks for its own settings: triggers, recipients and email text for a Result Report; Recipients, Targets and scheduling for Summary, Work Forecast and Operations Reports; and Limit to these schedules for an Availability Notification. Save the Rule. It's active straight away.

ℹ️ Note: Availability Notifications are sent in 5-minute intervals, so they can arrive a few minutes after the Checklist becomes available. If several are due in the same interval, they're grouped into one push.


Disable, edit or delete a Rule

Select a Rule in the Notification Rules list to see its actions: Edit, Disable (or Enable for a disabled Rule) and Delete. A disabled Rule keeps its settings, is marked with a Disabled icon, and sends nothing until you enable it again. Result Reports also have Translate and Change primary language.

🛑 Critical: Deleting a Rule cannot be undone. To stop a Rule for a while, Disable it instead, so you can turn it back on later with the same settings.


Notification settings

Notification Rules are separate from notification settings. The organization's default settings (the Notification Settings bell button on the Notification Rules page, which needs Organization › Administrate) and each User's personal settings cover notifications about Assignments, images, Competencies and Results awaiting validation. Best practices

  • Start from the questions your teams ask — "did the morning inspections pass?", "what's coming up tomorrow?" — and create one Rule per question.

  • Use User Groups as recipients rather than individual Users, so Rules stay current as teams change.

  • Put the type, audience and scope in the name, for example Result – Compliance Team – Failed Inspections.

  • Avoid overlapping Rules: someone in both audiences gets the same email twice.

  • Test a new Rule with yourself as the only recipient before adding the wider audience.


Frequently asked questions

Why isn't someone receiving the report email?

Check that neither the Rule nor the person is disabled, that the person is a recipient (directly, through a User Group, or as assignee or reviewer on a Result Report) and that their email address is correct. BCC User Groups only reach members of the Result's Location.

Someone gets report emails but isn't a recipient on any rule. Why?

Result Reports can also send to the Result's assignee, its reviewers and the Location's own email address. Check Result Report Rules with Send notification to the assignee, Send notification to location or Send notification to reviewers ticked, and the Location's Email field.

How do I email a user group when a checklist is completed or scores low?

Create a Result Report for the Checklist with When a result has been received ticked, and add the group under BCC. For low scores only, tick Only send a notification if the result’s overall score is below maximum. See How to set up a result report.

Can I get notified when a checklist is missed?

Not per missed Checklist. A Summary Report includes missed Checklists for its period, and reviewers who handle missed Results can get the Missed results digest push from their notification settings.

How do I pause a notification rule without deleting it?

Select the Rule and click Disable. It stops sending but keeps all its settings. Click Enable to turn it back on.

Why don't I see Operations Report when I create a rule?

It's an add-on. Ask your Customer Success Manager to enable Operations Report (aka 360-Park Report) for your organization; the option then appears in the Create menu. See Activating the operations report.
