Adding owners to Schedules

Let Users or User Groups edit and delete a specific Schedule or master Calendar without a Schedules Role — one at a time or in bulk.

Overview

Owners are Users or User Groups who can edit and delete a specific Schedule or master Calendar, without a Role that lets them edit every Schedule in your organization. Use them to let each department look after its own Schedules.

Whoever creates a Calendar Schedule, Continuous Schedule or master Calendar is added as an Owner automatically. You can add more Owners one Schedule at a time or in bulk.

💡 Why this matters: A Role with Schedules › Modify lets someone edit every Schedule in the organization. Owners narrow that to the Schedules a team actually runs, so a department head can maintain their own work without touching anyone else's.


What Owners can do

An Owner of a Calendar Schedule, Continuous Schedule or master Calendar can:

  • See it in Schedules or Schedules › Calendars, even without Schedules › View.

  • Edit all of it: What?, Where?, Who? (including its Owners), Compliance and its slots.

  • Delete it.

If the Owner is a User Group, every member of the group has these rights. Being an Owner doesn't let you create new Schedules — that needs Schedules › Create or Super User access — and doesn't give access to the Schedule's Results. Reviewers and Roles with Results permissions handle those.

The creator keeps edit and delete rights even if they're removed from Owners, and Super Users can always edit and delete any Schedule.

⚠️ Heads-up: Ad Hoc Slots also have an Owners field, but it doesn't give edit or delete rights. Only Super Users, the slot's creator and Roles with Schedules › Modify can change or delete an Ad Hoc Slot.


Add an Owner to one Schedule

1. Open the Schedule

Go to Schedules, select the Schedule and click Edit. On a Calendar Schedule, then click Settings in its header.

2. Add the Owner

In Who?, add Users or User Groups in Owners (Users/User Groups).

3. Save

Click Save. The new Owners can manage the Schedule straight away.

For a master Calendar, go to Schedules › Calendars, select the Calendar, click Edit, then Settings, and add Owners in the same field.


Add Owners to many Schedules

If one team owns dozens of Schedules, change them all at once:

  1. Go to Schedules and click Toggle Multiselect.

  2. Select the Schedules.

  3. Click Edit, then Bulk Change Assignees/Reviewers/Owners.

  4. Choose an Action — Add, Remove or Replace — and pick the Owners in Owners (Users/User Groups).

  5. Save, then check the list on Are you sure? and confirm. Mobaro only changes the Schedules you're allowed to modify.

Adding an Owner to several Schedules with Bulk Change Assignees/Reviewers/Owners

🛑 Critical: Replace replaces Assignees, Reviewers and Owners together: any field you leave empty is cleared on every selected Schedule, and the change can't be undone. To add Owners without touching Assignees, use Add.

Ad Hoc Slots have the same Bulk Change Assignees/Reviewers/Owners option under Schedules › Ad Hoc Slots. For master Calendars, select several under Schedules › Calendars and click Edit to open Bulk Change Calendars, which changes Owners only. Best practices

  • Make a User Group the Owner rather than individual Users, so ownership follows team changes.

  • When a new department head starts, use Add in the bulk dialog to make them an Owner of every Schedule in their area in one pass.

  • Give Schedules › Modify only to people who really need to edit every Schedule; use Owners for everyone else.


Frequently asked questions

Someone could edit a schedule before, but now access is denied. Why?

They've probably lost the right that let them edit it: they were removed from its Owners, left the User Group that owns it, or their Role lost Schedules › Modify. Only Super Users, Owners, the creator and Schedules › Modify can edit a Schedule.

Do you automatically become an owner when you create a schedule?

Yes. You're added to Owners when you create a Calendar Schedule, Continuous Schedule or master Calendar. Even if you remove yourself later, you can still edit and delete it because you created it.

What's the difference between an owner and a reviewer?

Owners manage the Schedule: they edit and delete it. Ownership gives no access to its Results. Reviewers validate the Schedule's Results and handle its Missing Results. See Schedule stakeholders: assignees, reviewers, and owners.

Can I see who owns a schedule without editing it?

Not from the list. The Schedules list has no Owners column or filter. Open the Schedule's settings to see Owners (Users/User Groups) in Who? — you can close it without saving.
