Overview
When a Certification Process has Require Validation ticked, completing the assessment Checklist doesn't award the Competency yet. The completed Checklist becomes a Result awaiting validation, and a Reviewer approves or disapproves it.
This article is for Reviewers: how to find Certification Results waiting for you, what Approve, Disapprove and Invalidate each do to the candidate, and why a Result might not show up for you. To set up a Process, see Create a Certification Process.

💡 Why this matters: Validation is the second pair of eyes that makes a Certification trustworthy. Until you approve, the candidate doesn't hold the Competency, so they can't take the RideOps positions or start the Checklists it gates. Timely reviews keep qualified staff cleared to work.
How validation works
The candidate completes the Checklist in the Certification Center, or an Assessor completes it for them with peer assessment.
The Result is marked Awaiting Validation. A self-assessed candidate sees the Competency as Awaiting approval in the app.
Approve awards the Competency straight away. A relative expiration counts from your approval, not from completion.
Disapprove awards nothing. The candidate stays blocked from the Process until the Result is invalidated.
Find Results to validate
In the Backend: go to Results and filter the state to Awaiting Validation. Add the Process's Checklist to the filter to see only that Certification.
In the mobile app: Results you can validate appear in the app's validation list, with the number waiting. See How to validate Checklists.
The Certification Processes page doesn't list pending validations. Its Progress column counts only Completed, Existing certification and Awaiting completion, and Go to results from this process only covers Results that have already awarded a Certification.
ℹ️ Note: Mobaro doesn't send Reviewers a push or Notification Center alert for Certification Results, because they aren't tied to a Location. Check the Awaiting Validation filter on a routine, for example daily.
Approve or disapprove
1. Open the Result
Click the Result to open it, and review the answers, attachments and signatures against your assessment criteria.
2. Choose Approve or Disapprove
Click Approve or Disapprove. To decide on several Results at once, tick them in Results (up to 100) and use the toolbar.
3. Add a comment and confirm
Enter a Comment and confirm in Result Approval or Result Disapproval. The comment is optional, but Mobaro asks you to confirm if you leave it empty. Your decision and comment are kept in the Result's history.
🛑 Critical: Approving awards the Competency immediately and clears the person for every Schedule and RideOps position that requires it. Only approve when you are satisfied they can do the work safely.
What each decision does

Approve | The Competency is awarded with the Process's expiration and renewal dates. The candidate gets a push notification if they have that setting on. |
Disapprove | No Competency. If one was already awarded, it is removed. The Process stays blocked for the candidate: self-assessed candidates keep seeing Awaiting approval, and peer-assessed ones drop off the Assessor's list. |
Invalidate | Removes the Result and any Certification it awarded, and makes the Process available to the candidate again. Needs Results › Delete. See Invalidating Results. |
Decisions can be changed: approving a disapproved Result awards the Competency, and disapproving an approved one removes it. Deleting the Certification Process doesn't change this: its Results awaiting validation stay in your list, approving one still awards the Competency, and Certifications it already awarded are kept.
⚠️ Heads-up: Disapprove doesn't send the candidate back to retake. To let them try again, invalidate the Result, and tell the candidate directly what to improve.
Who can validate a Result
To approve or disapprove a Certification Result, you need all of these, unless you're a Super User in the Backend:
You, or a User Group you're in, are a Reviewer on the Certification Process.
Your Role has Results › Validate. See Set up Roles to manage permissions.
If Mobaro has turned on Require certification reviewers to have user scope access to the certifying user for your organization, the candidate is in a User Group you belong to or manage, or your Role has Users › View.
In the mobile app, the validation list only shows Results where you are a Reviewer, even for Super Users.
Best practices
Add a User Group of qualified trainers as Reviewers, so reviews continue when people change shifts.
Check Awaiting Validation on a set routine; nothing reminds you.
Keep Reviewers and candidates separate. Mobaro doesn't stop a Reviewer approving their own assessment, so don't add Reviewers as Assignees or Assessors on the same Process.
When you disapprove, add a comment and tell the candidate directly what to improve before you invalidate for a retake.
Frequently asked questions
Where can an approver see certifications awaiting approval?
In the Backend, go to Results and filter to Awaiting Validation; add the Checklist to narrow it down. In the app, use the validation list. The Certification Processes page doesn't show pending approvals.
Do I approve or invalidate a certification test that didn't get a passing score?
Don't approve it: that awards the Competency. Processes have no pass mark, so you decide. Invalidate the Result to let the person retake straight away, or disapprove it to record the fail; they stay blocked until the Result is invalidated.
I'm a reviewer but don't see anything to validate. Why?
Nothing may be waiting. Otherwise, check you're a Reviewer on the Process, your Role has Results › Validate, and, if your organization restricts reviewer scope, the candidate is in one of your User Groups.
Will I get a notification when a certification needs approval?
No. Certification Results don't trigger the Result requires validation notification. Check Results filtered to Awaiting Validation regularly.
What does "Awaiting approval" mean for the candidate?
Their Result is waiting for a Reviewer, or was disapproved. It stays until a Reviewer approves it, or someone invalidates the Result so they can retake the Process.
