Impersonate a User to see what they see

How Super Users impersonate a User on the web or in the app, who can't be impersonated, what changes while impersonating, and how to end it.

Overview

With Impersonate User, a Super User sees Mobaro exactly as another User does: their Checklists, Locations, Library content and permissions, in the Backend or in the Mobaro app. Use it to answer "why can't they see it?" questions and to check a new User's access before they start.

🛑 Critical: While you impersonate someone, everything you do is saved as that User. A Checklist you complete, an Assignment you resolve or a Note you add shows their name, not yours. Use impersonation to look, not to do work on someone's behalf.


Impersonate on the web

1. Select the User

Go to Administrate › Users and tick exactly one User.

2. Click Impersonate User

Click the key icon, Impersonate User, above the table. Mobaro asks Would you like to impersonate the user {name}? and notes that all impersonations are logged. Click Yes. You can also open the User and click Impersonate User in the Administration panel.

3. Check what they see

The page reloads as that User. Their name shows at the top right with Impersonated under it. The menu, lists and dashboards now show only what they can see and do.

4. End the impersonation

Click the User's name at the top right and choose End Impersonation. The page reloads as you. Impersonation only applies to that browser tab, and closing the tab or clicking Logout also ends it.


Impersonate in the app

1. Open Impersonate User

Tap your profile picture on the home screen, then Impersonate User. The option only shows for Super Users, and the device must be online.

2. Pick the User

Search under Select a user to impersonate, tap the User and confirm with OK. The app reloads with their Checklists, Assignments and home screen.

3. End the impersonation

Go to Profile › End Impersonation. Until you do, the app stays as that User, even if you close it.


Who you can't impersonate

  • Super Users, including anyone who is a Super User in any Mobaro organization. The app leaves them out of the list; on the web, Mobaro refuses. Mobaro can impersonate them if you need help.

  • Disabled Users in the organization you're working in.

  • Yourself.

You also only see the User's data in organizations where you're a Super User. If they belong to other organizations, those stay hidden. See What is a Mobaro super user?


What's different while impersonating

  • Access is the User's. You get their Roles, User Groups and Location memberships, and nothing from your own.

  • No password changes. Change Password is hidden, so you can't change or see the User's password.

  • App profile is read-only. Notification Settings can't be changed, and changes to the User's app profile, such as Preferred Language, aren't saved.

  • Prompts are skipped. The app doesn't ask you to change the User's password or show current-user prompts.


Troubleshoot with impersonation

A Checklist is missing in someone's app. Impersonate them in the app and open the Checklists. If it isn't there, check that they or one of their User Groups is an assignee on the Schedule and that they're a member of the Location. See How access works in Mobaro.

Checking Library access. Impersonate someone outside the intended User Groups and open the Library. If they can see a folder, check its permissions. See Use permission folders in the library.

Checking a Role before go-live. Impersonate a User with the new Role and try the pages they'll use. Missing menu items or disabled buttons show a missing permission. See Role permissions reference.


Best practices

  • Look, don't act: end the impersonation before you complete Checklists or change data yourself.

  • In the app, wait until nothing is waiting to upload before you impersonate, so your own answers are sent as you.

  • End the impersonation as soon as you're done, especially on a shared device.

  • Tell the User when you've impersonated them to check their access.


Frequently asked questions

How do I impersonate a user?

On the web, go to Administrate › Users, tick one User and click Impersonate User (the key icon). On a phone or tablet, go to Profile › Impersonate User and pick them. Only Super Users have this option.

I'm a super user, so why can't I impersonate a specific user?

They're a Super User in some Mobaro organization, disabled, or Mobaro staff. If the option is missing for everyone, check you still have Super User status: disabling a Super User removes it. See Deactivating a Super User.

When I impersonate someone in the app, it says the user is disabled and ends. Why?

The User is disabled in the organization the app is working in, so Mobaro ends the impersonation. Check their status in Administrate › Users for that organization, and that the app is in the organization you expect.

If I complete a checklist while impersonating, whose name is on it?

The impersonated User's. Mobaro saves everything you do while impersonating as that User, and nothing on the Result shows it was done during an impersonation. End the impersonation first if you're doing the work yourself.

Can I let a manager impersonate users without making them a super user?

No. No Role permission includes impersonation; only Super Users have it. Only Mobaro can grant Super User status. See Activating a new Super User.
