Prepare a bulk User import with Mobaro Support

Prepare an import list, separate existing accounts from new Users and agree group membership and sign-in before a bulk onboarding request.

Overview

For a large group of new Users, prepare one reviewed import list and coordinate the import with Mobaro Support. The Backend Excel importer is a Mobaro administration tool, so customer Super Users should not expect an Import Users button.

The import creates accounts. Agree the intended team memberships, Location access and sign-in setup as part of the request rather than assuming they come from the spreadsheet automatically.

💡 Why this matters: A clean list and an explicit access plan help avoid duplicate accounts and a batch of Users who can sign in but cannot find their work.


Agree the import scope

  • Name the organization that should receive the accounts.

  • Separate genuinely new people from existing, disabled or returning Users.

  • Identify the intended User Groups and any direct Location or Role requirements.

  • Confirm whether an HR or identity integration already owns User creation.

  • Agree the sign-in method and the planned onboarding date.


Prepare the account list

1. Use a single reviewed worksheet

Coordinate the workbook format with Support before sending it. The Backend importer reads the first Excel worksheet, uses its first row as headers and stops at the first row with no name. Keep the list continuous and remove blank separator rows.

The import format also includes a password field and requires a first-sign-in password change. Agree temporary credentials and their secure handling with Support. Do not include people’s existing company or personal passwords.

3. Separate membership instructions

Provide the exact destination User Groups and explain whether everyone joins the same groups or different rows need different access. The account-import fields do not themselves assign Roles, User Groups or Locations. Confirm how those memberships will be applied after creation.


Resolve existing accounts first

The import checks for duplicate email addresses in the file and existing Mobaro accounts. If an address already exists, ask Support to identify the correct account and organization membership. Do not alter the address or create a second identity to bypass the conflict.

If you need to change an existing User’s email, follow changing a User’s email address. If you are adding only a few new accounts yourself, use creating Users.

⚠️ Heads-up: An imported password account is not proof that company SSO has been configured. Agree identity-provider and User Group requirements separately; see SSO access.


Review the completed batch

Confirm the imported count with Support, then check representative Users from each intended team. Verify their email, organization, User Groups, Roles and Locations. Ask a test User to complete the agreed first-sign-in flow and find their expected work.

If part of a batch fails, reconcile the accounts actually created before requesting a retry. Keep the error and row details so Support can work from the same list.


Best practices

  • Send one clearly versioned list with an explicit target organization.

  • Keep existing-account changes separate from new-account imports.

  • Check memberships and first sign-in after the import, not only the number of accounts.


Frequently asked questions

Can I bulk-upload Users myself as a Super User?

The Backend Excel importer is reserved for Mobaro administrators. Coordinate a bulk request with Support. For individual accounts, use creating Users.

Can I provide a CSV instead of an Excel spreadsheet?

Agree the format with Support first. The Backend importer reads an Excel workbook; do not assume a CSV can be uploaded unchanged.

I have an import sheet ready. Can everyone be put in the same User Group?

Include the exact target organization and User Group in the request. Membership is separate from the account-import fields, so confirm that Support will apply it as part of the agreed work.
