Plan staff handovers in RideOps

Prepare eligible replacement staff, switch Operators and Attendants, and keep handover information and Position records current.

Overview

A staff handover involves both the people taking over and the information they need. Prepare replacement Operators and Attendants in the Backend, then record the actual change on the RideOps tablet.

Use this guide to agree a consistent handover routine for breaks and shift changes. RideOps records who is operating or attending; your site still determines when and how the physical handover takes place.

💡 Why this matters: A prepared handover keeps the staffing record aligned with the people doing the work and gives the incoming team the right information.


Prepare the replacement staff

1. Check the Location’s staff lists

In Locations › RideOps Settings, review the eligible Operators and Attendants. These are separate lists. Confirm the incoming people or their User Groups are included before the shift.

2. Check qualifications and PINs

Operators need their own PIN and the required current Competencies. Attendants must satisfy the Location’s Attendant requirements and any requirements on their Position. See Competency requirements and RideOps PINs.

3. Review the Positions

Confirm which Positions are mandatory and which people can fill them. Agree who covers each Position during the change. See setting up Attendants and Positions.


Carry out the handover

1. Review the current situation

Before switching, review relevant Notes, active work and the ride’s status with the incoming team. Use your site’s handover procedure for any restrictions or outstanding tasks. Record information in the appropriate Note or Assignment rather than relying on an informal comment.

2. Switch the Operator

Open the Operators area and use Switch for the current Operator. Select the incoming Operator and have them enter their own PIN. Confirm that the displayed Operator is the person now responsible. See operating a ride.

3. Switch Attendant Positions

Open Operators & Attendants. On a staffed Position, use SWITCH and select the incoming Attendant. SIGN OUT leaves the Position unstaffed. Attendants do not enter an Operator PIN for this action.

🛑 Critical: Signing out of a mandatory Position makes it unstaffed and affects readiness. Use the intended switch workflow when a replacement is taking over, and confirm the staffing display before continuing under your site’s procedure.

4. Acknowledge required information

Where your organization uses handover Notes requiring acknowledgement, the incoming Operator must follow that workflow. Switching the Operator is not a substitute for acknowledgement. See acknowledging handover Notes.


Keep the routine current

Review the Operators and Attendants setup when team membership or qualifications change. A person eligible for one ride or Position is not automatically eligible for every other one.

Use the RideOps Log book when reviewing recorded activity. If a record needs correcting, use the authorized operational-log process rather than signing people in again to manufacture a replacement timeline.

  • Check both the Operator name and every required Position after a handover.


Frequently asked questions

How does an Operator sign in?

Select their name and enter their own PIN. They must be eligible for the Location and hold its required Competencies. See Operator sign-in.

Why is nobody available for a required Position?

Check both the Location’s Attendant list and the Competencies required by the Location and Position. See Attendant and Position setup.

What are handover Notes used for?

They pass information to incoming staff; configured handover Notes can require acknowledgement. See handover Notes for setup and behavior.
