Overview
Before your team starts using a new Inventory catalogue, check it from their point of view. A useful setup lets someone find the right part, distinguish it from similar parts and select the Warehouse they will use.
Use this review after an import or a large catalogue change. Include the person who manages stock and at least one person who will use Materials on Assignments.

Check the intended users’ access
Run the review with the Roles and Location memberships the team will actually use, not only with Super User access. When Inventory permission controls are enabled, Materials, Warehouses and Stock have separate action permissions. A storekeeper who corrects quantities needs Stock › Modify; adding a new stock row needs Stock › Create.
Stock changes at a Warehouse targeted to a Location also require membership of that Location. A transfer checks both source and destination. Confirm the intended stores and actions are available. See Role permissions reference.
The Mobile app’s Assignment material workflow follows permission to modify the Assignment; it does not require separate Inventory management permissions. Test that workflow separately from Backend stock management and reporting.
Check the catalogue in practice
1. Choose a representative sample
Select a small set of Materials that your team uses regularly. Include similar parts, a consumable with a pack size, and a Material stored in more than one Warehouse. Five to ten items is a useful starting point for this review.
Use an editable Assignment with a Location in the Mobile app, while online. Open Materials and tap Add. For the full workflow and permissions, see Find and add materials to an Assignment in the Mobile app.
2. Test category browsing
Ask a team member to find a sample Material without entering a search term. Start with a broad category, then open the relevant subcategory. Note any category names that make them hesitate or choose the wrong route.
If the team member cannot find a Material by browsing, check its category in the Backend. Review Uncategorized for Materials that have no category. A successful search alone does not show that the browsing route works.
3. Test names and SKUs
Search for a sample Material using the words your team uses, then try its SKU. Check that the displayed Name, SKU and Description help the person select the correct item.
Compare similar items. Replace unclear names such as “Bearing” with a name that includes the distinguishing type or size. Put useful identification details in the Description. The Inventory search matches Name, SKU and Manufacturer; do not rely on Description text alone to make a Material searchable.
4. Check the Warehouse choices
Select an in-stock Material. In Select Warehouse, check that the Warehouse names match the places where people collect parts. Confirm a sample of the shown quantities against the stock records and physical count.
The Mobile app offers Warehouses with positive stock for the selected Material. If a store is missing, review that Material’s Warehouse stock in the Backend. Use Warehouses and stock for the setup and Adjusting and transferring stock for corrections.
5. Record the changes to make
Write down each problem found during the review and assign someone to correct it. Include unclear category names, uncategorized Materials, duplicate-looking names, unclear pack sizes and incorrect Warehouse quantities.
Repeat the affected checks after the changes. Ask the field team to use the same names and units when reporting parts used, so stock records remain understandable.
Check minimums and prices
If your team uses minimum stock, compare Minimum stock (all warehouses) on each sample material with its Warehouse Min stock values. The overall and Warehouse thresholds are independent. Use Low Stock to review shortages, and confirm someone owns the follow-up. Minimums do not reserve stock or prevent negative quantities. See Set minimum stock and find shortages.
If you use prices, confirm the Accounting currency, additional currencies and exchange rates in Organization Configuration › Currencies. Currency setup needs Organization › Administrate or Super User access. Check that each sample material’s Price per unit matches the unit used for stock.
Review Value and Unpriced on the Warehouses page. Blank prices are unpriced; zero is a known price of zero. Value uses positive quantities with current prices and exchange rates, not historical purchase costs. See Configure currencies and exchange rates and Set material prices and understand Warehouse value.
Pricing, minimum-stock controls, Inventory permissions and Movements may be enabled separately. If a control is missing, ask your CSM about availability.
Explain planned and used Materials
Adding Materials to an Assignment records planned quantities. It does not reserve or deduct stock. Used quantities are confirmed when the Assignment is resolved. Make this distinction part of the team handover; see Requisitions: requesting and fulfilling stock.
Check supervisors’ report access
When Movements is enabled, have a supervisor open Inventory › Movements, select Consumption, set a period and check the intended Warehouses. Compare recorded usage with completed work and try Export to Excel. Reports show quantities, not spend.
Where Inventory permissions apply, reports require Stock › View. Location membership limits reports to Warehouses at the user’s member Locations and untargeted Warehouses. Permission to use materials on an Assignment does not by itself grant report access. See Review and export Inventory movements.
Best practices
Include a new team member in the review; they are less likely to know the catalogue by memory.
Check the catalogue again after a large import, a new store or a change in naming rules.
Give the team a clear person to contact when a Material is difficult to find or stock does not match the shelf.
Frequently asked questions
Why can I see a Material but not select it?
The Mobile app does not let you select a Material with no positive stock. Check the Material’s stock in the Backend. See the Mobile app Materials guide.
Can the team select Materials offline?
No. The Mobile app Material picker needs an online connection to retrieve Materials and Warehouse stock. Check connectivity before testing the catalogue.
Does adding a Material to an Assignment reserve it?
No. Planned Materials do not reserve stock. Used quantities are recorded when the Assignment is resolved. See Requisitions for the stock effect.
Does reopening an Assignment return its stock?
No. Reopening an Assignment does not reverse its recorded stock use. Review and correct stock separately where needed; see Requisitions.
