How to deactivate a User

Disable a User to pause access, delete them to remove them from your organization, or re-enable them, and what each action changes.

Overview

When someone no longer needs access to Mobaro, you can disable them, which pauses their access to your organization and keeps their setup, or delete them, which removes them from your organization and clears them from Assignments, Schedules, Roles and other places they are mapped. A disabled User can be re-enabled at any time.

Disabling and deleting both apply to the organization you are working in. If the person also belongs to another Mobaro organization, their access there is not affected.

💡 Why this matters: Disabling is reversible and keeps every Role, User Group and Location membership. Deleting can't be undone by you and clears the User from Assignments, Schedules, Roles, User Groups, Locations, Notification Rules and Checklist questions, and deletes their Certifications. When in doubt, disable.


Disable a User

Disabling a User immediately stops them from accessing your organization in the Backend and the Mobaro app. Their record and memberships stay in place, ready for their return. It suits seasonal staff between seasons, people on extended leave, or anyone whose access should pause.

1. Select the User

In the Backend, go to Users and select the User. You can select several Users to disable them together.

2. Click Disable

Click the Disable button in the toolbar. There is no confirmation step: the User is disabled straight away and you see "The user was disabled successfully."

To disable a User you need Users › Delete in a Role (or be a Super User), have created that User yourself, or be an Administrator of a User Group they belong to. You can't disable yourself or a Super User.


Find and re-enable a User

The Users table has no status filter. Disabled Users stay in the list, shown with a pause icon and a shaded row. To find one, use the search box (Search for a user here...) at the top of the table.

To re-enable, select the disabled User and click Enable. Access returns immediately, with the same Roles, User Groups and Location memberships they had before.


Delete a User

Deleting suits permanent departures and clean-up of test or duplicate accounts. Select the User in Users, click Delete, review the list of affected items and confirm with Delete User. You need Users › Delete in a Role, or be a Super User; you can also delete Users you created yourself.

🛑 Critical: Deletion can't be undone from the Backend. When you confirm:

  • Assignments assigned to the User, and Checklist assignment triggers where they are assignee, become unassigned.

  • Schedules, Roles, User Groups, Locations, Location Groups, Notification Rules and Checklist questions that reference the User are updated to remove them.

  • Certifications awarded to the User are deleted, and Certification processes where they are assignee, assessor or reviewer are updated.

Deleting removes the User from your organization only. If they belong to other Mobaro organizations, they keep their account and access there; the account itself is deleted only when they belong to no other organization. Completed Results and the history of finished work stay in Mobaro.

If a User is deleted by mistake, contact Mobaro Support. Mobaro can recover a deleted account into one organization, but not its previous Roles or User Group memberships, so you'll need to set those up again.


Users in several organizations

Each organization manages its own Users. To revoke someone's access everywhere, disable or delete them in every organization they belong to.

Editing is stricter: to change the profile of a User who belongs to several organizations, you need to be able to administrate Users in all of those organizations. Otherwise the Edit button is greyed out with "Editing disabled. Click here for details".


Super Users

You can't disable or delete a Super User from the Backend, even as a Super User yourself. Ask Mobaro Support; see Deactivating a Super User.

⚠️ Heads-up: When a Super User is disabled, their Super User status in that organization is removed permanently. Re-enabling them restores their access, but not Super User status; that has to be requested again (see Activating a new Super User).


Best practices

  • Disable rather than delete when the person may come back, such as seasonal staff.

  • Before deleting, reassign open Assignments and check Schedules and Notification Rules that name the User, so nothing is left without an owner.

  • Delete test and duplicate accounts so they don't appear in pickers and filters.

  • For people who work across several organizations, keep a list of where they have access so you can remove it everywhere when they leave.


Frequently asked questions

Should I disable or delete someone who has left?

Disable if they might return, for example seasonal staff: their memberships stay and you can re-enable them. Delete if they have left for good and should no longer appear as an assignee, recipient or member anywhere in your organization.

If I delete a user, do I lose the checklists and results they completed?

No. Completed Results and the history of finished Assignments stay in Mobaro. Deleting removes the User from open Assignments, Schedules, groups and other mappings, and deletes their Certifications.

Can I bring back a user I deleted by mistake?

Not yourself. Contact Mobaro Support, who can recover the account into your organization. Their previous Roles and User Group memberships aren't restored, so add those again afterwards.

How do I remove a super user?

Contact Mobaro Support: only Mobaro can disable, delete or remove Super User status. See Deactivating a Super User.

I can't edit a user because they belong to several organizations. What can I do?

Ask someone who can administrate Users in every organization the User belongs to, or contact Mobaro Support. You can still disable or delete the User in your own organization if you have Users › Delete.

Can I set an end date on a user's access?

No. Mobaro has no scheduled end date for Users. Disable the User when their access should stop, and re-enable them when they return.
