Understanding assignment statuses

What Created, Started and Finished mean, who can change an Assignment's status, and how to change or reopen it in the Backend and the mobile app.

Overview

Every Assignment has a status that shows where the work is: Created, Started or Finished. Knowing what each status means — and who can change it — keeps work trackable and your reporting accurate.

💡 Why this matters: Statuses are how everyone sees what's being worked on, what's waiting and what's done. Using them consistently keeps the Assignments list, dashboards and reports honest, so nothing quietly stalls.


The assignment statuses

Status

Meaning

Created

Logged and waiting for someone to start it. Every new standard Assignment starts here.

Started

Work is in progress but not complete.

Finished

Resolved. The resolution is recorded, and the Assignment stays in Mobaro for reporting and audit.

Reopening isn't a status. When you move a Finished Assignment back to Created or Started, the activity feed records it as a reopen.

ℹ️ Note: The Open option in the Assignments status filter isn't a status either — it shows every Assignment that isn't Finished, i.e. Created and Started together.


Statuses with Assignment Definitions

Assignments created from an Assignment Definition use that definition's own states instead. Each state still maps to a status for filters and reports: the Initial state counts as Created, Step states as Started, and Final states as Finished. See Using Assignment Definitions.


Change the status in the Backend

1. Open the assignment

Go to Assignments and open the Assignment. Or select a single row and use the Start assignment or Resolve assignment icon in the table toolbar.

2. Choose the new status

Change Status (or State, for a definition) and click the Save icon.

3. Add a justification if asked

Moving an Assignment to Finished (or a Final state), or back out of it, opens Justification of state change. Enter a Description — it's required — and click OK. The description is saved as the resolution or the reopen reason.


Change the status in the mobile app

In the mobile app, open the Assignment and add a Solution to resolve it. For Assignments that use a definition, you can also move between the non-final states in State. See Closing and resolving an assignment on mobile.

⚠️ Heads-up: A standard Assignment can't be set to Started in the mobile app — use the Backend. Finished Assignments are read-only in the app until someone reopens them in the Backend.


Who can change the status

Any one of these is enough: being an assignee (directly or through a User Group), having created the Assignment, having a Role with Assignments › Modify, or being a Super User.

For Assignments that use a definition, the definition's Who can resolve setting can further limit who may move it into a Final state.


Best practices

  • Move work to Started when someone picks it up, so the list shows what's actually in progress.

  • Write a resolution that says what was done, not just "fixed" — it's what auditors and the next technician will read.

  • When you reopen an Assignment, explain why in the justification so the history makes sense later.


Frequently asked questions

How do I close or finish an assignment?

In the Backend, select it and click Resolve assignment, or set Status to Finished, then enter the required description. In the mobile app, add a Solution. See Resolving, documenting, and reopening Assignments.

Why can't I resolve an assignment?

You need to be an assignee (directly or through a User Group), its creator, have a Role with Assignments › Modify, or be a Super User. For definition-based Assignments, the definition's Who can resolve may also exclude your User Groups.

I closed an assignment by mistake. Can I reopen it?

Yes. In the Backend, open it and change Status back to Created or Started (or a non-final state), then give a reason. It becomes available in the mobile app again and the activity feed records the reopen.

Can I mark an assignment as started?

Yes, in the Backend: set Status to Started or click Start assignment. The mobile app can't set a standard Assignment to Started; with a definition, choose a Step state in State.

Can I add or rename the statuses?

Not for standard Assignments — Created, Started and Finished are fixed. Assignment Definitions let you define your own states. See Using Assignment Definitions.
