Finding and using Library content in the mobile app

Where to find Library manuals, videos and links in the Mobaro app and on RideOps, how versions are offered, and how to use them offline.

Written by Logan Bowlby

Overview

The Library holds your organization's manuals (PDFs), videos and links. In the Mobaro mobile app you reach them in three ways: by browsing the Library from the home screen, from the icons on a Checklist question, and on a RideOps device's Resources & Manuals page.

This article is for the people using that content. To add content, see Creating and managing your Library. Which folders reach which Users is set by publishing — see Use permission folders in the library.

At a glance

Who can do this

Anyone the content is published to. Super Users and Roles with Manuals and Directories › View receive the whole Library in the app.

Where

Library on the app's home screen; the manual, video and link icons on a Checklist question; RideOps › Resources & Manuals

Works on

Mobile app and RideOps. Content is managed in the Backend (web).

Availability

All organizations

💡 Why this matters: Operators rarely have time to hunt for a document mid-task. Knowing where Library content shows up puts the right manual or video a tap away — and a downloaded manual still opens without signal.

Browse the Library in the app

1. Open the Library

On the app's home screen, tap Library. You see the folders and items published to you, in the folder structure your administrator set up in the Backend.

2. Open a folder and an item

Tap a folder to open it. Tap a manual, video or link to see its versions — most items have just one. The Library lists versions with no Limit To (Location Groups) or limited to a Location Group that contains one of your Locations; Super Users and Roles with Manuals and Directories › View see every version.

3. Open a version

Tap the version. A manual opens as a PDF, a video plays in the app, and a link opens on your device, for example in your browser.

Library content on a Checklist

When an administrator attaches Library content to a question, the question shows a manual, video or link icon. Tap the icon and pick the item from the list (Select a Manual, Select a Video or Select a Link). If the question points to a manual Section, only those pages open.

Content attached to a question is always delivered to the Users who get that Checklist, whatever the folder's publishing settings.

⚠️ Heads-up: Mobaro doesn't pick a version by your language or Role. On a Checklist question, the app offers every version that has no Limit To (Location Groups), or is limited to a Location Group containing the Checklist's Location. If more than one applies, you choose from the list.

Resources & Manuals on RideOps

On a RideOps device, the Resources & Manuals page lists the manuals and videos published to the logged-in User for that ride's Location, showing only versions with no Location Group limit or one matching the ride. Where more than one version applies, choose one with Select Version. Links aren't listed on this page; on RideOps they open from the icons on a Checklist question. Which folders appear on RideOps is covered in Use permission folders in the library.

Use Library content offline

  • Manuals and folders can be downloaded to the phone. Tap Download for offline next to the item and confirm. When the files are on the phone, it shows Available Offline.

  • Videos and links show N/A Offline. They open content on the internet and need a connection.

  • Checklists: when a Checklist is downloaded for offline use, the manuals attached to its questions download with it. An administrator can make this automatic with Require downloading the entire checklist for offline use.

New and changed Library content only reaches your phone while it's online. See Working online versus offline with Mobaro.

Best practices

  • Download the folders you rely on while you're on Wi-Fi, and check they show Available Offline before you head somewhere without signal.

  • Use the icons on a question first — they open the exact manual or section for that check.

  • Tell whoever manages your Library when a manual is missing or out of date, rather than keeping your own copy.

Frequently asked questions

Where can I find the manuals for the rides?

Tap Library on the app's home screen and open the folders. Manuals attached to a Checklist question also open from the manual icon on that question, and on RideOps from Resources & Manuals. If a manual isn't in any of these, it hasn't been published to you.

How do I open a document in the Library?

Open its folder, tap the manual, then tap the version. It opens as a PDF. To open it without a connection later, tap Download for offline while you're online.

One of my technicians can't see everything in the Library. Why?

The app only shows what's published to them: they must be a Publish Recipient of the folder or a folder above it and, if the folder has Publish Targets, a member of one of those Locations or Location Groups. See Use permission folders in the library.

How do I choose which version of a manual a question opens?

You can't pick a version on the question. At a Checklist's Location, the app offers every version with no Location Group limit or a matching one. For a new revision, upload the new PDF to the existing version instead of adding a version.

Does the app show the manual in my language automatically?

No. Mobaro doesn't match manual versions to your language or Role; versions are chosen by Location Group. Ask your administrator to limit each language version to the right Location Groups, or to name versions clearly so you can pick.
