Put a site-specific procedure link in a Checklist

Maintain external procedure addresses in the Library and offer the right versions at the work Location.

Written by Logan Bowlby

Overview

Use a Library Link when the controlled procedure lives in an external system. Maintain its addresses as versions, then attach the item to the Checklist question where staff need it.

💡 Why this matters: A central link avoids copying an address into many question descriptions when the destination changes.

Before you start

Use stable approved URLs and confirm staff can sign in to the destination. Mobaro does not grant access to the external system or keep an offline copy of the web page.

Walkthrough

1. Create the Library link

Select the intended Library folder and choose Create › Link. Give the item a clear Name and description so Checklist editors can identify it.

2. Enter the destination

Under Versions, enter a meaningful Version Name and Url. Include its protocol, normally https://. Use the procedure owner’s maintained address, not a temporary download or personal sharing link.

3. Scope site-specific versions

Use Limit To (Location Groups) when a version applies only to particular sites. Add further versions only when the destination differs. A blank limit is unrestricted; multiple matching versions can be offered together.

4. Attach and verify the link

In the Checklist question’s Links section, click Add Link, select the item and save. Open it from work at each intended Location. Confirm the page, external permissions and version name with an ordinary User.

Check the outcome

The question opens the intended external procedure for the selected Location. Review any change at the external destination through your normal document process.

Best practices

  • Keep external access ownership clear.

  • Update the existing Library item when a URL changes.

  • Provide an appropriate PDF manual separately if the procedure must be available offline.

Frequently asked questions

Will the link work without a signal?

No. External links are not cached as offline documents. Use a downloadable PDF manual when offline reference is required.

Does the link give staff access to the external site?

No. They still need whatever authentication and permissions that site requires.

Are links listed in RideOps Resources & Manuals?

No. RideOps opens links from Checklist questions. Its Resources & Manuals page lists manuals and videos. See Library Links.
