Set up a two-stage training pathway

Link a knowledge check and practical assessment using prerequisite Competencies, with reviewer approval before qualification.

Overview

Use two Certification Processes when staff must pass a knowledge stage before a practical assessment. Each Process awards its own Competency; the practical Process requires the knowledge Competency.

The names below are examples. Your training owner decides the assessment content, pass criteria and qualification requirements.

💡 Why this matters: Prerequisite Competencies make the sequence explicit, while separate Results retain the evidence for each assessment stage.


Plan the two awards

Create two Competencies, for example “Aster Run knowledge” and “Aster Run practical qualification”. Prepare a separate Checklist for each assessment. Do not have the first stage award the final qualification.

Decide who takes the knowledge check, who performs practical assessments, who reviews Results and how each award expires. If operating a ride requires both Competencies to remain current, configure both at the point of use; a Process prerequisite controls starting that Process.


Create the knowledge stage

1. Set the first Process

Create a Certification Process with the knowledge Checklist and the knowledge Awarded Competency. Choose Self assessment when trainees answer it themselves, and add the trainee Users or User Group as Assignees.

Give the knowledge Process its own Checklist and intermediate Awarded Competency.

2. Require the pass decision

Add the training reviewers and turn on Require Validation. Reviewers use the agreed pass criteria to approve or reject the Result.

🛑 Critical: A Certification Process has no automatic pass-score threshold. A completed low-scoring Checklist can award its Competency if validation is not required. Use reviewer validation when completion alone is not enough to qualify.

3. Add the prerequisite

Create the second Process with the practical Checklist and practical Awarded Competency. Add the knowledge Competency under Required Competencies. Assign the trainees to this Process too; a prerequisite is not an automatic assignment.

Require the knowledge Competency before the practical Process.

4. Choose the assessment roles

Choose Peer assessment, add the authorized Assessors, and add Reviewers with Require Validation if a separate approval is required. Choose these deliberately: the Awarded Competency and Assessment type cannot be changed after saving.

5. Set expiry and renewal

Configure the expiration and renewal policy on each Process. A relative period starts when the Competency is awarded, including reviewer approval where required. Review the consequences before later changes: editing expiry settings can re-date active Certifications. See Certification Process setup.

Try the pathway as a trainee

Use a test trainee with no existing awards for these Competencies, so the trial covers the complete sequence.

  • Before stage one is awarded, confirm the trainee cannot start the practical Process.

  • Complete the knowledge Checklist and confirm it awaits approval.

  • Approve an acceptable test Result, refresh the app and confirm stage two becomes available.

  • Have an Assessor select the correct trainee under Certification Center › Assess others and complete the practical assessment.

  • Approve the practical Result where required, then verify the awarded Competencies and the intended work eligibility.

For a failed assessment that must be retaken, use the supported Result handling described in reviewing Certifications. Do not expect an Assignment Trigger inside a training Checklist to stop an award.


Best practices

  • Name intermediate Competencies so they cannot be confused with final qualifications.

  • Check the pathway with an ordinary trainee and Assessor account.

  • Plan renewal of prerequisites as well as the final qualification.


Frequently asked questions

Will a fault Assignment inside the assessment stop the award?

No. Checklist triggers do not run in Certification Processes, and there is no automatic pass-mark gate. Use Require Validation and an explicit reviewer decision.

Should I disapprove or invalidate a failed test?

Use the action appropriate to your review decision. On a validated Process, a disapproved Result can keep the attempt waiting for review. Invalidate it when a retake is needed; see the reviewer guide.

Where do I approve a trainee who is awaiting approval?

In the Result review workflow, not the Certification Center. In the Mobile app, open Checklists and the review icon, then Awaiting Validation. You must be an eligible reviewer.
