Review a contractor team’s completed work

Build a review of finished Assignments, compare resolution evidence and export the records needed for a contractor meeting.

Overview

Use finished Assignments to prepare a contractor review based on recorded work. Separate who is assigned to a task from who actually resolved it, and use the resolution date when deciding what belongs in the review period.

💡 Why this matters: A consistent review scope makes it easier to discuss completed work, unresolved concerns and evidence that is still missing.


Before you start

Agree the contractor team, Locations and date boundaries. A filter for the current assignee does not prove who performed all the work. If you need everything resolved by particular people, begin with a suitably broad accessible dataset and inspect Resolved By.


Walkthrough

1. Find the finished work

In Assignments, set Status to Finished. Apply the intended Location and assignee or category filters. If using Assignment Definitions, include the relevant final states. Avoid narrowing by Created date when older tasks could have been resolved during the review period.

2. Show the completion evidence

Use Setup visible columns to add Resolved, Resolved By and Resolution, alongside the identifiers and deadlines you need. Sort by Resolved and inspect records at the period’s boundaries.

3. Inspect the underlying records

Open representative tasks and any exceptions. Review resolution wording, attachments and the activity feed. A red deadline means the deadline is before today; compare it with the actual resolution time before calling a completed task late.

4. Export the agreed records

For an exact selection, select the relevant rows and use Export selected assignments to Excel. Selection is limited to 300. For a broader filtered export, verify the downloaded rows: the search box and Asset and Origin filters are not applied by that export path.


Check the outcome

Filter the exported spreadsheet by Resolved date and, when required, Resolved By to produce the agreed review set. Dates use the browser’s time zone. Comments and the activity feed are not in the Excel export, so retain links or selected PDF records for evidence that needs that context. See Assignment reporting.


Best practices

  • Record date boundaries and time zone with the review.

  • Keep task ownership and resolution authorship separate.

  • Check the exported row count before using totals in a meeting.


Frequently asked questions

Can I export everything one person completed?

Use Resolved By and Resolved in a suitably scoped export. The assignee filter alone is not a filter for who resolved the work.

How do I export only Downtime Assignments?

Use Origin to find them, select the relevant rows and export the selection. The filtered Excel export ignores the Origin filter.

Can I include the comments in Excel?

No. Comments and activity history are not included. Open the underlying Assignment or use the appropriate selected PDF record where it contains the needed information.
