Organize mobile work into Checklist folders

Group related Checklists in the mobile app using Checklist Folders, then check the view with a team member.

Overview

Checklist Folders help staff browse their assigned work by a familiar heading, such as Opening checks or Food and beverage. They organise the mobile list; they do not grant access or replace the Schedule that makes a Checklist available.

Before you start

Choose a short set of folder names based on how staff look for work. Keep these separate from Checklist permission folders, which control Backend access.


Walkthrough

1. Create the folder names

In Configuration › Checklists, add the required entries in Checklist Folders. Use a few clear names rather than one folder for every Checklist.

2. Assign a Checklist folder

Open a Checklist, select Settings and find Folders under Organization. Choose the folder and save. If the field is absent, create a folder in Configuration first. Categories are a separate list.

3. Update related Checklists

For a larger set, select the Checklists and use Bulk edit categories and folders. Choose Action › Add, select the intended folders and leave Categories empty to preserve the existing Categories. Review and confirm. Replace replaces both lists and can clear a list left empty; do not use it for an additive folder change.

4. Group the mobile list

Refresh the Mobaro app. In the Checklists list, open its filter and choose Group By › Folder. Check with a User who receives the work through a Schedule and has access to its Location.


Check the outcome

The mobile work list groups available Checklists under the intended folders. A missing Checklist still needs its Schedule, assignment and Location access checked.


Best practices

  • Keep names stable so staff learn where to look.

  • Use Categories for reporting filters, and folders for browsing.

  • Review the list from an ordinary team member’s account.


Frequently asked questions

I moved it into a permission folder. Why is the app unchanged?

Permission folders control Backend access. Assign a Checklist Folder in Settings, then select Group By › Folder in the app.

Does a folder make a Checklist appear for everyone?

No. Schedules, assignees and Location access still decide which work is available. Check why a Checklist is missing.

Can Categories and folders be used together?

Yes. They are separate labels. Categories filter work and reporting; folders group the mobile Checklist list.
