A Checklist is missing from the Backend

Find a missing Checklist by checking the organization, permission folder, search scope and access before changing its Schedule.

Overview

If a Checklist is missing from the Backend, first check where you are searching and which Checklists your account can see. A hidden permission folder or a different organization can make an existing Checklist look as though it has disappeared.

Use this guide when the Checklist itself is missing. If it is visible in the Backend but unavailable to someone completing work, see finding missing Checklists in the Mobile app.

💡 Why this matters: Finding the original Checklist avoids creating a duplicate with its own Schedule, history and future maintenance.


Broaden your search

1. Check the active organization

Confirm the organization you have open. Search for the Checklist’s saved name, including any recent name change. If you work in several organizations, check the one where the Checklist was created; see switching between organizations.

2. Check the permission folder

When the permission-folder tree is visible, the selected folder limits your search. Select the expected folder, or use Toggle Permission Folders to search across the Checklists you are allowed to see. Clear other list filters before searching again.

Ask a colleague who can see the Checklist to confirm its name and permission folder. Use those details to compare access; do not assume that two Checklists with the same name are the same item.

Backend visibility can come from Checklists › View or the Checklist’s permission folder. Editing and moving are separate actions. A folder’s permissions may also come from its parent folder. See using Checklist permission folders for the access model.

⚠️ Heads-up: Permission folders organize and control access to Checklists in the Backend. They are different from the folders used to present scheduled work in the Mobile app.


Check the Schedule separately

Creating a Checklist does not by itself create a Calendar Schedule. Open the relevant Schedule and confirm that it uses the intended Checklist. If you have only created the Checklist so far, follow the prerequisites for scheduling.

If the Checklist is available but missing from a particular picker, record which editor and field you are using. Do not change Location memberships or app assignees simply to fix a Backend search problem.


If it is still missing

Send Mobaro Support the Checklist name or link, active organization, expected permission folder and the name of the page where it is missing. Include whether another authorized colleague can see it and whether it was recently moved or deleted.


Best practices

  • Search across your permitted Checklists before creating a replacement.

  • Give folder access for the work someone maintains; review inherited permissions before broadening a Role.

  • Keep Checklist names specific enough to distinguish copies.


Frequently asked questions

I created a Checklist. Why is it not in Schedules?

A Checklist and a Schedule are separate items. Confirm the Checklist exists, then create or edit a Schedule that uses it. See the scheduling prerequisites.

Why can I see a Checklist but not move it to the right folder?

Moving a Checklist involves permission-folder management, not just visibility. Ask the folder administrator to check your access; see Checklist permission folders.

Can someone edit only the Checklists in one folder?

Yes. Permission-folder access can give an Editor access to a specific area. Check inherited folder permissions and existing Role permissions so the person does not also have broader editing access. See permission-folder setup.
