Set minimum stock and find shortages

Set minimum quantities for Materials and Warehouse stock, then use stock indicators and filters to find shortages.

Written by Logan Bowlby

Overview

Set minimum quantities to identify stock that needs attention. You can set one minimum for a Material across all Warehouses and separate minimums for individual Warehouses. The indicators and Low Stock filter help you find shortages.

Early access — contact your CSM

🚀 Early access: Inventory must be enabled for your organization. Ask your CSM about access to these controls.

Before you start

Inventory and stock indicators must be enabled for your organization. Where Inventory permissions are enforced, you also need the relevant View permission to open the page and Modify permission to change a minimum. Location membership can limit changes to a Warehouse. Ask your CSM or Super User if a control is missing.

Set the overall minimum

1. Open the Material

In Inventory, open the Material’s details.

2. Enter the minimum

Enter Minimum stock (all warehouses). This compares the Material’s total quantity across Warehouses with one threshold; it does not copy a minimum into each Warehouse.

3. Save the Material

Click Save at the top of the Material page. You can enter zero or more, with up to three decimal places. Leave the field empty for no overall minimum.

Set a Warehouse minimum

1. Select the Warehouse row

In the Material’s Warehouses panel, select one Warehouse. Click Set minimum stock (bell icon).

2. Save the Warehouse minimum

Enter Min stock and click Save. The selected Warehouse is low when its positive quantity is at or below this number. Leave the field empty to remove the minimum.

Warehouse minimums use the same nonnegative, three-decimal quantities. You can also set Minimum stock (optional) when adding stock to a Warehouse. For that workflow, see Warehouses and stock levels.

Read the indicators

Indicator

Meaning

Low stock

Positive quantity at or below the applicable minimum.

Out of stock

Quantity is zero or below, even if no minimum is set.

No warning

Positive quantity is above its minimum, or has no minimum.

The all-Warehouse view uses the Material’s overall minimum for Total Stock. Its Warehouse warning also counts stock rows that have a configured minimum and are at or below it. A Warehouse without a minimum is not included in that configured-minimum warning count.

Example: a Material has 24 units in Main Store and four in Workshop Store. Its overall minimum is 20, so the total of 28 is above that minimum. Workshop Store has a minimum of five, so it is still low. The Material can therefore appear in Low Stock even though its total is healthy.

Find shortages

1. Turn on Low Stock

On the Inventory page, click Low Stock (warning icon) in the filters toolbar. It finds nonpositive totals, totals at or below the applicable minimum, and Materials with a configured Warehouse shortage.

2. Filter by Warehouse

Use the Warehouse filter to choose one Warehouse. The list only includes Materials with stock rows there, and compares that Warehouse’s quantities with its own minimums. Combine it with Low Stock to focus on shortages there.

3. Review the affected stock

Open a Material and check the Warehouses panel and Stock History. Transfer stock from another Warehouse when it physically moves, or adjust an incorrect quantity after a count. See Adjusting and transferring stock.

⚠️ Heads-up: Minimums flag quantities for review. They do not reserve stock, prevent negative stock, send supplier orders or automatically replenish a Warehouse. The controls described here are visual indicators, not an email-notification setup.

Prepare minimums for an import

The Inventory workbook supports Minimum stock (optional) on both Materials and Stock. The Materials column sets the overall minimum; the Stock column sets the minimum for that Material/Warehouse row. Ask your CSM for the current template. The import adds records rather than updating existing stock rows; see Importing your Inventory data.

Best practices

  • Set Warehouse minimums where stock needs to be available locally, even if overall stock is sufficient.

  • Use the same unit for minimums and stock quantities.

  • Review thresholds when usage patterns change.

  • Check the physical stock and movement history before making an adjustment.

Frequently asked questions

Why can’t I see Set minimum stock?

Stock indicators must be enabled. Select exactly one Warehouse row and check that you can modify its stock. Location restrictions can also prevent the action. Ask your CSM or Super User to check access.

Does clearing a minimum change the stock quantity?

No. Clearing a minimum removes that threshold only. The stock quantity and its movement history stay unchanged.

Why is a Material still out of stock after I clear its minimum?

Out of stock means the quantity is zero or below. Removing a minimum does not change that quantity or suppress the out-of-stock state.

Can I set minimums from the mobile app?

No. Set overall and per-Warehouse minimums in the Backend. The mobile app’s Assignment Materials workflow does not provide these controls.
