Notes widget

List Notes on a dashboard with the Notes widget: filter by created date, Location, Note Type and Unhandled, and open a Note from the list.

Overview

The Notes widget lists Notes on a dashboard, newest first, filtered by created date, Location, Note Type and whether they still need follow-up. It answers "which Notes were logged, and which still need action?"

What it shows

Each row is one Note, with these columns: a status icon, Title, Description, Location, Type, Created By and Created. Long titles and descriptions are cut off; open the Note to read all of it. Deleted Notes aren't listed.

Empty circle

No approval and no Assignment. Hover to see Requires Approval if the Note needs approval.

An assignment is related to this note.

Unhandled Notes are those that aren't approved and either need approval or are linked to an Assignment. A Note linked to an Assignment stays Unhandled until the Assignment is resolved.

⚠️ Heads-up: Location access decides which Notes you see. Super Users see every Note; everyone else sees Notes only at Locations they're a member of, directly or through a User Group or Location Group. Locations › View and Notes permissions don't widen this.

Reading the widget

The widget shows 10 Notes per page; use the arrows at the top to page. Click a row to open the Note: confirm Go to note, and the Backend opens it in Notes. Opening Notes needs Super User or a Role with a Notes permission.

The widget updates itself every 30 seconds, as well as with the dashboard every 10 minutes and whenever you change a filter. Bulk filtering can change its time range and Locations. To keep changed settings, save them in a Personal filter.


Best practices

  • Turn on Unhandled on an operations dashboard, so Notes waiting for approval or an Assignment stay visible.

  • Filter by Note Type, such as a Problem type, to focus on issues, and share recurring problems with maintenance.

  • Set a Created range such as Last week on busy dashboards, so recent Notes aren't buried.


Frequently asked questions

I gave a user View Locations and View Notes, but they can't see all notes. Why?

Notes show only at Locations the User is a member of, unless they're a Super User; permissions don't change that. Add the User, or their User Group, to the Locations. See Creating and managing Notes.

Can I tag notes, for example as evacuations, and filter the dashboard by that tag?

Notes have no tags. Create a Note Type such as Evacuation, have operators choose it, then filter the widget by Note Type. See Setting up Note Types.

What does the Unhandled filter show?

Notes that aren't approved and either need approval or are linked to an Assignment. They leave the list when someone approves them or resolves the linked Assignment.

Can I export the notes in the widget?

Not from the widget. In Notes, click Export note(s) › Export note summary. See Creating and managing Notes.
