Overview
If a reviewer cannot find a Result or cannot approve one they can see, check visibility and validation separately. Being able to read a report does not automatically give permission to approve it.
Use a specific completed Result when testing access. Record whether it is missing from the list, visible without an approval action, or already reviewed.

💡 Why this matters: The correct combination of source Reviewers, Role permissions and Location access gives the right people review access without opening unrelated records.
Identify the review source
1. Find the originating work
Check which Schedule or Certification Process produced the Result. Compare the Reviewers configured for that source with the person who needs to approve it, including their User Group memberships.
For an Ad Hoc Checklist started by a trigger, check the Reviewers configured on the trigger. Do not assume the parent Schedule’s Reviewers automatically cover the triggered work.
2. Check the Role
For ordinary Result review, the reviewer needs Results › Validate as well as the reviewer relationship. Results › View alone is not validation permission. Super Users can validate Results in their active organization.
3. Check the Location
A regular reviewer must have access to the Result’s Location. Check direct and inherited Location membership, especially if the Result is visible to a Super User but missing for the reviewer. See how access works in Mobaro.
Check special review rules
Result type | Additional check |
Certification Process | Reviewers remain relevant even with Results View. Candidate visibility may also be limited to the reviewer’s User Groups. |
RideOps preopening or closing | Results › Validate RideOps is a separate permission route. |
Triggered Ad Hoc work | Check the trigger’s Reviewers, not just the Schedule that launched it. |
Use validating Certifications for candidate restrictions and the effects of approval or disapproval on an award. Use validating Checklists for ordinary validation and the RideOps distinction.
Check state and selection
The Awaiting Validation filter shows Results that require validation and have not already been approved or disapproved. Clear that filter when locating a Result that may already have a review decision.
Check that you are opening a submitted Result rather than a missing occurrence or unfinished work. The Schedule’s grace period concerns completion timing; it is not a substitute for the Result’s validation state.
If working with a bulk selection, use no more than 100 Results at a time and verify that the reviewer is authorized for each one. Mixed selections should not be treated as proof that every Result was approved.
ℹ️ Note: Approval, disapproval and invalidation are different actions. Do not invalidate a Result to work around a missing approval button; first identify the permission or state that is blocking review.
Confirm the correction
Have the affected reviewer reopen the exact Result and check that the intended review action is available. They should approve only after completing the review. If access remains blocked, send Support the Result link, source, Location, reviewer and current status.
Best practices
Test review access with the reviewer’s account, not only a Super User account.
Keep source Reviewers up to date when teams or User Groups change.
Review a small selection first when investigating bulk approval.
Frequently asked questions
Does a Reviewer need access to the Location to see Results?
Yes, regular reviewers need Location access as well as the relevant Result access. Super User access is broader. See how access works in Mobaro.
Can managers approve a Checklist during its grace period?
A submitted Result can be reviewed when the manager has validation access. The grace period controls when work can be completed; check that a Result has actually been submitted and is available for review.
How do reviewers validate Certification Results in the Mobile app?
Use the app’s validation list with the required Process reviewer and Result permissions. Follow validating Certifications for the mobile workflow and candidate restrictions.
