Reconcile time recorded by several people on one Assignment

Compare individual Timesheet entries with the Assignment, identify missing entries and check totals without duplicating recorded labor.

Overview

When several people work on one Assignment, review their individual Timesheet entries against the same Assignment. One person’s visible total is not necessarily the total labor recorded by the team.

Use this guide when a technician’s time appears missing, colleagues see different entries or a report total does not match the work you expected.

💡 Why this matters: Separating labor per person from elapsed job time makes the comparison meaningful and avoids adding replacement entries for time that already exists.


Open the same Assignment

1. Confirm the work reference

Use the Assignment link rather than its name alone. Open Timesheet entries in the Backend and confirm that each entry belongs to this Assignment. Time attached to a Checklist Result is a different origin and will not become Assignment time automatically.

2. Use the right review account

In the Backend, Timesheets › Administrate allows review across Users. Without that access, the list is limited to your own entries. In the Mobile app, Timesheet lists show the current User’s own entries, including when that person is an administrator.

ℹ️ Note: Not seeing a colleague’s entry on your phone does not prove that it failed to save. Compare the entries in the Backend using the appropriate Timesheet administration access.

3. Ask each person to check their entry

Each worker should identify the entry they saved, its start and end or duration, its type and the Assignment used. Do not ask one person to overwrite another’s entry to make a combined total.

It was attached to another Assignment or a Result.

The list’s date filter excludes the entry.

Type

A type filter excludes the work.

Approval

Show Unapproved limits the list to entries awaiting approval.

End time

An open time entry does not yet have a final duration.

Labor totals add the time recorded by each person. For example, two people each recording one hour contribute two hours of labor even if the job took one hour on the clock. Use the individual entries when checking that total.

Compare reports carefully

If a downloaded report lacks expected time, compare it with the current entries in Mobaro. Check which Assignment or Result the report covers, the account that generated it and when it was generated. A previously downloaded file does not update after more time is saved.

For a structured extract across jobs and Users, use Timesheet reporting and exports. Do not substitute an Assignment count or its elapsed open time for recorded Timesheet labor.


Investigate a missing save

If the worker can see a pending local entry but it is absent from the Backend, preserve the device’s unsent work and use unsent-data troubleshooting. Avoid adding another entry until the original save has been checked.

Send Support the Assignment link, affected User, time-entry dates, duration and device, plus whether the entry is visible to its owner. Include the report or filter comparison that exposed the difference.


Best practices

  • Have each worker record their own contribution to the same Assignment.

  • Reconcile by User and origin before comparing totals.

  • Check pending uploads before creating replacement entries.


Frequently asked questions

Two technicians logged time. Why can I only see one person’s entry?

Check from the Backend with Timesheets › Administrate. The Mobile app shows only the signed-in User’s own entries. Then compare the origin, date and type filters before assuming a save failed.

Why is recorded time missing from an Assignment or Checklist report?

Check the report’s origin, generation time and the entries visible to the generating account. Compare directly with Timesheets before adding data again. See Timesheet reporting.

Can I see my Timesheet entries in the app?

Yes, you can review your own entries from the relevant work. It is not an organization-wide Timesheet review list. See Timesheet entries.
