Set up time recording for Checklist work

Introduce Checklist time registration, choose Entry Types and establish an approval and reporting routine for logged hours.

Overview

Use time registration when you want staff to record the time they spent on scheduled Checklist work. Set up the work classifications, enable the prompt on the relevant Schedules and decide who will approve the entries.

💡 Why this matters: Agreeing the recording and approval routine first makes logged hours easier to compare and use in reporting.


Agree what staff should record

Decide what counts as work time, when staff should enter it and which Entry Type they should choose. For example, agree whether travel and the inspection itself are recorded separately. These are your organization’s instructions; Mobaro does not infer your time-recording policy from a Checklist.

Choose an approver and a review frequency. Explain how staff should correct an entry before approval.


Configure the workflow

1. Create the Entry Types

Open Configuration › Time Registration and create a small set of clearly named Entry Types. Mark the most common type as Default so it is pre-selected. This setup needs Organization › Administrate or Super User access. See Timesheet Entry Types.

2. Enable recording on the Schedule

Open the relevant Calendar or Continuous Schedule and find Enable Time Registration in its compliance settings. Select Optional when staff may decline to record time, or Required when an entry must be supplied before submission. Save the Schedule.

This is a Schedule setting, so configure every intended Schedule that uses the Checklist. See Schedule compliance settings.

3. Give approvers the right access

Give the people reviewing entries Timesheets › Administrate, or use existing Super Users for that responsibility. Staff do not need that permission to record their own time. See Timesheet approval.


Trial a complete entry

In a suitable test workflow, have a team member complete a Checklist and follow the time-registration prompt. Check the Entry Type, recorded time and description, then inspect the entry in Timesheets. Checklist entries are identified as From Result.

Approve the entry through the normal review workflow and check the resulting report. Every new entry starts awaiting approval, including an entry recorded by a Super User. Completing or approving a Checklist Result is separate from approving its Timesheet entry.

⚠️ Heads-up: After approval, the person who recorded the entry cannot edit or delete it themselves. A Super User or someone with Timesheets › Administrate must correct it or reject approval first. See editing Timesheet entries.


Start the reporting routine

Use Timesheet reporting and exports to review hours for the intended period and scope. Check a small sample against the submitted entries before treating the report as the basis for another process.

Time registration stores work entries. Any payroll or billing calculations and transfer into another system remain part of your organization’s process.

  • Use distinct Entry Types that staff can apply consistently.

  • Trial the full record, approve and export cycle before a wider rollout.

  • Review entries promptly so people can clarify them while the work is recent.

What are Timesheets used for?

They record time against work, which can then be reviewed, approved and reported. They are not a payslip. See Timesheet entries.

Can I see all my Timesheets in the app?

Use the Backend’s Timesheets page for your full entry list. The Mobile app shows time on individual Assignments. See finding and creating Timesheet entries.
