Time a check and capture delay reasons

Use a Duration Question and conditional follow-up question to document an elapsed time and explain longer checks.

Overview

A Duration Question records elapsed time with a stopwatch or manual entry. Pair it with a conditional Text Question when a longer check needs an explanation. This is a Checklist answer, not a Timesheet entry.

Before you start

Agree the start and stop points and the threshold for an explanation. The example below uses ten minutes only as an illustration; choose a threshold appropriate to your task.


Walkthrough

1. Describe what to time

Add a Duration Question. Use Title and Explanatory Text to say exactly when to start and stop. Save the question.

2. Add the delay explanation

Add a Text Question. Under Logic, base its visibility on the Duration Question being greater than 600 seconds. Ten minutes is 600 seconds, not 10. An answer of exactly 600 does not meet greater than 600.

3. Start and stop the timer

In the mobile Checklist, tap play when the defined activity begins and stop when it ends. The timer must be stopped to save an answer. The follow-up question appears if the recorded duration meets its condition.

4. Review the completed record

Answer any visible explanation question, finish and sync the Checklist, then open its Result. Check the elapsed time and the explanation together. If timing was done elsewhere, staff can tap the duration and enter it manually instead.


Check the outcome

The Result contains a non-zero duration and an explanation when required. It does not create payroll time or an Assignment automatically.


Best practices

  • Use the same timing boundaries across the team.

  • Stop the timer before trying to complete the Checklist.

  • Use a Number Question in a time unit when a value must trigger an Assignment.


Frequently asked questions

Can a long duration create an Assignment?

No. Duration Questions do not support triggers. Use a Number Question for that workflow. See Duration Questions.

Why does zero not complete the question?

Zero is treated as unanswered. Record a duration of at least one second, or adjust the Checklist design for cases where timing does not apply.

Is this the same as recording working hours?

No. A Duration Question records one answer. Set up Timesheets for Checklist work if you need work-time entries.
