Prepare a Result report for an external reader

Choose report content deliberately, review the generated PDF and retain the full internal record.

Overview

An external reader may need the inspection findings without every internal detail. Prepare a dedicated Report Template, export the intended Result and inspect the PDF before sharing it through your approved channel.

💡 Why this matters: Reviewing the actual file helps avoid sharing unrelated internal detail or omitting needed evidence.


Before you start

Agree what the recipient needs. A template is not anonymisation or an access-control boundary: names or other identifying details may also appear in free text, photos, Assignments and Timesheets.


Walkthrough

1. Create a recipient-specific template

Create a Report Template with a descriptive name. Keep the inspection findings and evidence the recipient needs. Avoid changing an existing template used by other reports unless that wider change is intended.

2. Choose identity fields deliberately

Review Hide email addresses, Hide ‘Answered by’ per question, Hide frontpage and Hide compliance page. Hiding these fields does not remove names written into answers or images. Timesheet entries can still identify their User.

3. Choose internal work detail

Review Hide created assignments, Hide assignment history and Hide assignment resolutions. Decide what the reader needs rather than hiding everything automatically. Keep photos and explanations needed to understand the finding.

4. Export and inspect the PDF

Open the intended Result, choose the template and download the PDF. Read every page before sending it. Check free text, photos and Timesheet information as well as the configured fields. Retain the full internal Result and use your organisation’s approved sharing process.


Check the outcome

The reviewed PDF contains the agreed material. The full Result remains available internally; this workflow does not make it anonymous or change Mobaro permissions.


Best practices

  • Use a separate template for each materially different audience.

  • Check every exported file, including attachments and free text.

  • Keep the report date and Result identity clear.


Frequently asked questions

Can I make the submitted Result anonymous?

Not with a Report Template. It can hide some report fields, but Mobaro retains who completed the Result. See Report Template limits.

Will this hide the record from Backend users?

No. Report display options do not change access to the underlying Result.

Can I send this automatically later?

A Result Report rule can use a template. Test the exact output and recipients first. See sending approved reports to a shared mailbox.
