Overview
If a report omits questions, answers or images you expected to see, compare the report with the captured Result before changing any records. A Report Template can deliberately hide content.
Use one Result and one example of missing content. Confirm whether you are looking at the report in the Backend, an exported file or an emailed report.

💡 Why this matters: Report presentation and recorded data are different. A focused comparison helps you restore the right view without altering the inspection record.
Open the correct report
1. Confirm the Result
Check the Checklist, Location, completion time and User. Open the Checklist’s Result report. An Assignment overview is a report about the work item, not automatically the full set of answers from the Checklist that raised it.
2. Compare Detailed Report
Select Detailed Report and compare it with the chosen template. If the missing content appears there, inspect the template’s hide settings. For the report controls, see viewing Checklist Results.
3. Match the delivery settings
Check the template selected for the particular view, export or email rule. Creating a template does not automatically apply it to every report from a Checklist. A downloaded or emailed file also needs to be generated again if you want a different presentation.
Inspect what the template hides
Missing content | Template settings to review |
Questions with full scores | Maximum-score question hiding and its exceptions. |
Questions with lower scores | Below-maximum-score hiding and its exceptions. |
Questions without scores | Scoreless-question hiding and its exceptions. |
Photos | Image questions, attached images, reference images and image elements. |
Comments or selected options | Comment and unanswered-option settings. |
Question-level settings may hide a whole question even when one of its image settings allows photographs. Review both the question rule and the content-specific rule. Exceptions for comments, images or Assignments can also change which questions remain visible.
Use Report Templates for the complete settings and permissions. Templates are shared across the organization, so consider who else uses one before changing it.
⚠️ Heads-up: A Report Template hides captured content; it does not add missing answers, change the Checklist’s question order or create a report containing data that was never recorded.
Check conditional content
If the item is also absent from Detailed Report, compare the Checklist path taken during the assessment. Conditional pages or questions may not have been shown to the person completing it.
Also confirm that you are comparing the Result with the Checklist as used for that work, rather than with later edits. Do not change answers or invalidate the Result merely to make a report resemble the current Checklist.
If content is still unexplained
Send Support the Result link, report/template name, delivery method and an example of the missing question or image. State whether it is present in Detailed Report. Keep the original exported file for comparison.
Best practices
Compare Detailed Report before changing a shared template.
Use descriptive template names that identify the intended audience.
Check both a full-score and a failed-answer Result when reviewing a template.
Frequently asked questions
Does a new Report Template apply to every Checklist report automatically?
No. Choose the template for the report view, export or relevant email rule. See Report Templates.
Can I apply my template to an older Result?
Yes. Choose it when viewing or generating a report for that Result. It changes presentation, not the recorded answers. An existing downloaded file will not update itself.
Why does an Assignment report show an overview rather than all the Checklist answers?
An Assignment and a Checklist Result are different records. Open the relevant Checklist Result for its full report; see viewing Checklist Results.
