Assignment triggers in Checklists

Raise an Assignment from a Checklist answer: supported questions, the trigger's options, and whether the User confirms it or it's created automatically.

Overview

An Assignment Trigger turns a Checklist answer into work. When a User gives an answer that meets the condition you set, the app (Mobile app or RideOps) raises an Assignment with the details you've prefilled — so a failed check becomes a tracked task without anyone having to remember it.

By default the User sees the prefilled Assignment and confirms it. If you prefill the title and assignee, you can instead have the Assignment created without any user intervention. For the other trigger types, see Adding triggers to a checklist.

💡 Why this matters: The gap between spotting a problem and someone owning it is where things fall through. An Assignment trigger closes that gap: the moment an operator records a fault, the follow-up task is raised, assigned and prioritised.


Questions that support Assignment triggers

The Triggers panel appears only on these question types: Select Question, Select Question Group, Smiley Question, Number Question, Temperature Question, Date Question and Water Quality Question. For a Water Quality Question that uses a ruleset, the condition is below, within or above the rule's range.

Slider, Duration, Text, Photo, Signature and other question types don't support triggers. For the conditions each type offers, see Adding triggers to a checklist.


Add an Assignment trigger

1. Open the question's Triggers

In the Checklist editor, select the question, expand Triggers, click Add Trigger and choose Assignment Trigger.

2. Set the condition

Under If the answer to this question is:, set the answer that fires the trigger — for example equal to Not OK, or greater than a value. For a Select Question Group or Water Quality Question, first choose the Trigger Question.

3. Choose the definition and priority

Under Then create a task with the following values:, choose the Assignment Definition if your organization has any (Default is a standard Assignment). Then tick High priority, or pick the definition's Priority.

Optionally tick Set deadline to and enter a number of Hours or Days. With a definition, this overrides the definition's deadline policy.

4. Prefill the title and description

Enter a Prefilled title — the default title for the Assignment, which the User can change. The Description is read-only text shown to the User; it isn't saved on the Assignment.

5. Choose who it goes to

Add Users or User Groups in Assigned to (Users/User Groups), or tick Assign to user that answered the question. Optionally add Subscribers and Assignment Categories (or the definition's categories).

6. Decide whether the User confirms it

Tick Require no user intervention when creating assignment to create the Assignment without showing it to the User. The option is available only once the trigger has a Prefilled title and an assignee. Then save the Checklist.


What happens in the app

When the answer meets the condition, the Mobile app or RideOps opens the prefilled Assignment. The User can review and edit it, then save it. In the Mobile app, if an open Assignment already exists for the same question and option at the same Location or Asset, the app first asks: "Would you like to choose an existing assignment instead of creating a new one?"

With Require no user intervention when creating assignment ticked, the Assignment is created in the background with the prefilled values. Either way it's created at the Location the Checklist is completed for and linked to the Result.

⚠️ Heads-up: Prefilled values are only defaults while the User confirms the Assignment — they can change the title, priority or assignee. If those values must not change, tick Require no user intervention when creating assignment.

ℹ️ Note: Triggers act on answers given while completing a Checklist. They don't fire for Checklists completed in a Certification Process, or when someone edits the answers of a completed Result.


Best practices

  • Assign to a User Group rather than an individual, so the task still routes correctly when someone is off shift.

  • Prefill the title and assignee for routine faults and turn on Require no user intervention when creating assignment, so operators aren't stopped mid-check.

  • Pair the Assignment Trigger with a Requirement Trigger on the same answer, so the fault is documented with a comment or photo as well as followed up.


Frequently asked questions

What is a subscriber in an assignment trigger?

Subscribers are Users or User Groups who follow the Assignment without being assigned. They get notifications about it — for example when it's started, resolved or commented on — according to their notification settings.

Users can change the high priority to low when the assignment is created. Can I stop that?

Yes. Prefill the title and assignee, then tick Require no user intervention when creating assignment. The Assignment is then created with the trigger's values and the User never edits it.

How do I change the default deadline on assignments created from a failed answer?

Edit the trigger in the Checklist editor: tick Set deadline to and enter Hours or Days. With an Assignment Definition, this overrides the definition's Deadline delay policy. See Using Assignment Definitions.

The user group I need isn't in the trigger's assignee list. Why?

Only User Groups with Assignments ticked under Assignability in the User Group's settings can be assigned. The trigger's Assignment Definition can also limit it with Who can be assigned or Limit type of assignee to. See Using Assignment Definitions.

Why does the app ask me to choose an existing assignment?

An open Assignment already exists for the same question and option at this Location or Asset. Pick it to avoid a duplicate, or create a new one. The app doesn't ask when the trigger has Require no user intervention when creating assignment ticked.

Can a trigger create an assignment when a checklist is missed or someone adds a comment?

No. Triggers only act on a question's answer. For missed Checklists, use the Missed results digest — see Approving or rescheduling missed Results.
