Overview
The Gallery collects every image attached in Mobaro — to Checklist answers, Assignments and Notes — in one place. Use it to review evidence across Locations, spot-check the photos from a safety inspection, tag images with Categories, and turn a photo that shows a problem into an Assignment.
At a glance |
|
Who can do this | Anyone can open the Gallery; what you see depends on your Locations and Role. Applying Categories: Gallery › Categorize Gallery |
Where | Gallery; Categories: Configuration › Files › File Categories |
Works on | Backend (web); Mobile app (Gallery, with fewer filters) |
Availability | All organizations |
💡 Why this matters: Without the Gallery, photos are only visible inside the Result or Assignment they belong to. The Gallery lets you ask cross-cutting questions, such as "every photo from the restraint check across all coasters this week".
The list view
Open Gallery to see the images you have access to as tiles, each with its title, Location and date. Icons on each tile show:
Where the image came from: Image from checklist, Image from assignment or Image from note, and Related to an asset when it's linked to an Asset.
How it was added: Image from camera (taken with the device camera) or Image from storage (chosen from the device's photos or files).
Colored bars for the Categories applied to it.
The number of comments, and an eye icon if you're subscribed to the image.
Filter the Gallery
The Gallery's filters work together:
Time range.

Source — From Checklists, From Assignments or From Notes. With Assignments selected, you can also filter by Assignment status.
Locations and Assets, Users and Schedules.
Checklists — with one Checklist selected, you can narrow to a Page and Question.
Category.

Turn a photo into an Assignment
1. Open the image
Click the image tile to open the detailed view.
2. Choose Create Related Assignment
Click More Options and select Create Related Assignment.
3. Complete and save the Assignment
The new Assignment opens with a copy of the image attached, the image's Location filled in and the person who added the image as assignee. The Assignment is linked to the image's source. Check the assignee, add the details and save.
⚠️ Heads-up: The assignee is pre-filled with whoever took the photo, which is often not the person who should fix the problem. Change it before you save.
Categories and permissions
Categories are created under Configuration › Files › File Categories, which needs Organization › Administrate. Applying them to images needs Gallery › Categorize Gallery. For category workflows, see Gallery filtering and Categories — advanced workflows.
Super Users see every image. Other users see images from Locations they're members of: all of them with Gallery › View Gallery, otherwise only images from the Results and Assignments they're allowed to see.
Best practices
Combine Checklists with Page and Question to review every photo from one question over a period.
Agree on a small set of Categories, such as Best practice and Needs improvement, and apply them as you review.
For audits, filter on From Camera — images from storage may be older or edited.
Use Create Related Assignment rather than starting a new Assignment, so the photo and its source stay linked.
Review in the Gallery instead of downloading copies, and download only when you need a file outside Mobaro.
Frequently asked questions
How do I add photos to the Gallery?
You can't upload to the Gallery directly. Photos appear there when they're attached to a Checklist answer, an Assignment or a Note, in the mobile app or the Backend. Attach the photo where the work is recorded and it shows up in the Gallery.
Who can see the images in the Gallery? Can I keep some private?
Super Users see every image. Others only see images from Locations they're members of: all of them with Gallery › View Gallery, otherwise only those from Results and Assignments they can see. To limit Checklist photos, restrict who sees the Results and don't give those users View Gallery.
Can I export or download all the images?
Not in bulk. In the detailed view, Download Image saves one image at a time. To get a Checklist's photos with its answers, export the Result as a PDF — see Exporting Results.
Can I set up folders for the pictures?
No. Use Categories instead: create them under Configuration › Files › File Categories, apply them to images, and filter the Gallery by Category.
Can I tell if a photo was taken live or uploaded from the phone?
Yes. Each tile shows Image from camera or Image from storage, and the Origin filter narrows the Gallery to From Camera or From Storage.
How do I get notified when someone comments on a photo?
Click Subscribe in the image's detailed view — you're subscribed automatically to images you add or comment on. Then make sure Comment on images where subscribed is on in your notification settings. See Organizational and personal notification settings.
