Overdue Checklists widget

What the Overdue Checklists widget counts — Checklists past their deadline but still in their grace period — its filters, and how to see which ones.

Overview

The Overdue Checklists widget shows how many scheduled Checklists are overdue right now: past their deadline and not yet completed, but still inside their grace period, so they can still be done. Click the number to see which Checklists they are, per Location.

💡 Why this matters: An overdue Checklist can still be completed. Seeing it while there's time to act keeps it from becoming a missed Checklist and a gap in your compliance record.

What counts as overdue

A Checklist counts as overdue when its scheduled slot has passed its deadline, it has no Result yet, and its grace period hasn't ended. Checklists in Ad Hoc Slots count too.

When the grace period ends without a Result, the Checklist is missed. It drops out of this widget and is counted by the Missed Checklists widget instead.

⚠️ Heads-up: Only slots with a grace period can be overdue. Without Allow grace period, a Checklist goes straight from available to missed at its deadline and never shows in this widget. See Adding Grace Periods to Schedules and Calendars.

The widget only counts slots you can see. Super Users see all of them; other Users see slots at Locations they're a member of, for Schedules they can see. Two people can therefore see different numbers.


Filter the Overdue Checklists widget

Use the buttons at the top of the widget to filter by Checklist Categories, Schedules, Checklists and Locations (Locations or Location Groups). Continuous Schedules aren't offered in the Schedules filter. You can also give the widget a custom title.

There's no time range: the widget always shows what's overdue now. It reloads with the dashboard every 10 minutes and whenever you change a filter. See How to use the Dashboard.

ℹ️ Note: The widget has no reminder setting. Reminders are set on the Schedule and send assignees a push notification if the Checklist isn't done by the time you set. See Adding reminders to Schedules.


See the overdue Checklists

Click the number to open the list. It shows each Location with its number of Overdue Checklists. Click a Location to see its overdue Checklists, with the Checklist, Schedule (or Ad Hoc Slots), Start, End (the deadline) and End of grace period. Use the back arrow to return to the Locations.


Best practices

  • Put the widget next to Missed Checklists: overdue work can still be done, missed work can't.

  • Add a grace period to Schedules whose Checklists often finish late, so late work shows here before it's missed.

  • Add Reminders to Schedules so assignees are nudged before the deadline.

  • Use one widget per Checklist Categories selection, for example maintenance inspections, to watch critical work separately.


Frequently asked questions

A checklist that was due yesterday has disappeared. Where did it go?

Once its grace period (or, without one, its deadline) passes without a Result, the Checklist is missed and leaves this widget. You can approve or reschedule it as a missing Result — see How to handle missing Results.

Is there a notification I can get if a checklist is not complete?

Not from this widget. Add Reminders to the Schedule: assignees get a push notification if the Checklist isn't done by the time you set. See Adding reminders to Schedules.

What's the difference between overdue and missed?

Overdue: past its deadline but inside its grace period, so it can still be completed. Missed: the slot has ended with no Result. The When overdue and When missing options of Is critical for operation use the same stages — see Schedule criticality and Location operational status.

Why does the widget always show 0?

Your Schedules probably have no grace period, so Checklists go straight to missed at their deadline. Tick Allow grace period on the Schedule's Pattern or Specific. Also check the widget's filters and your access to the Locations.
