Overview
If a dashboard is missing, empty or different for two people, check three things separately: whether the dashboard appears in their menu, which filters it is using, and what data the affected User can access.
Use this guide to troubleshoot dashboards in the Backend. For the basic controls, see How to use the Dashboard.

💡 Why this matters: Comparing one dashboard, one widget and one example Location or Result helps you find the cause before changing shared settings or access.
Choose the matching symptom
Symptom | First check |
The dashboard is absent from the menu | Active organization and the template’s recipients. |
The dashboard opens but a widget is empty | Selected filter, date range, time zone and widget-specific filters. |
Two Users see different numbers | Compare the exact view, then their relevant access. |
Filter controls are missing | Check whether the template limits available filters. |
The figures look out of date | Reload the view and check for an open dialog. |
Find a missing dashboard
1. Check the organization
Confirm that the person is in the organization where the dashboard was created. Switching organizations changes the workspace they are viewing.
2. Check template recipients
An authorized template editor can open Dashboard Templates, edit the template and open Configure Dashboard. In Limited recipients to, check for the affected User or a User Group they belong to. This list uses Users and User Groups, not Roles or Locations.
Add the intended recipient, save, then ask them to reload the Backend.
⚠️ Heads-up: An empty recipient list makes the template available in everyone’s dashboard menu in that organization. Do not clear the list just to troubleshoot one person.
ℹ️ Note: A Super User’s dashboard menu also follows template recipients. Being a Super User does not put every template in that menu. See how Dashboard Templates are shared.
Compare the exact view
1. Select the same saved filter
Have both people open the same dashboard and select the same Organization filter. A filter with a similar name under Personal is a separate saved view. A starred Personal default is chosen before the template’s default, so two people may open different views automatically.
2. Compare each widget’s scope
Check the time zone, date range, Locations or Location Groups, Checklists, Categories and any other filters offered by the affected widget. Also check whether the Location Switcher has selected a Location.
For a Location Overview that omits a Checklist, inspect the Checklist Category and Schedule filters. A Checklist outside the selected categories will not be counted by that filter. Diagnose with a suitable view before changing the Checklist’s categories or the shared template.
3. Check filter restrictions
If the controls needed for the comparison are hidden, ask the editor whether Limit available filters to those defined in this template is enabled. Do not assume the User is missing a Role permission.
⚠️ Heads-up: Existing Personal filters can still appear when filter controls are restricted, and a starred one can still be selected by default. See Organization and Personal dashboard filters.
Check the affected User’s access
Sharing a dashboard does not assign Location membership or a Role. Compare the affected User’s relevant Roles, User Groups and Location access with the person whose view works. The same Role name alone does not establish the same access.
Check the permissions for the particular widget and its source records. For example, Location Overview builds its readiness data using the viewer’s accessible Locations and scheduled work. Being a Reviewer on one Schedule does not automatically share a Dashboard Template or grant every kind of dashboard data access.
Use How access works in Mobaro and the dashboard widget catalog to check the relevant access model. If you are authorized to impersonate a User, inspect their view to reproduce the issue. Avoid granting Super User access as a troubleshooting shortcut.
Check freshness and escalate
After a template or recipient change, reload the dashboard. Normal dashboard data refresh runs every 10 minutes and skips a refresh while a dialog is open. Close the dialog and reload before comparing figures. Some widgets have their own refresh behavior; see the dashboard refresh guide.
If the difference remains, send Support:
The dashboard name or link and the exact widget title or type.
The affected User, organization and one comparison User, if relevant.
The selected filter and whether it is Organization or Personal.
The time zone, date range and widget filters, with a screenshot.
One Location, Checklist or Result you expected to see, and what happened after reloading.
Describe whether the whole dashboard is missing or only one widget differs. An empty widget does not by itself establish that the data was deleted or that an add-on is missing.
Best practices
Compare one concrete record under the same filters before changing access.
Make the smallest access or filter correction that matches the person’s job.
Keep changes to a shared template separate from your diagnostic notes; saving it affects its recipients.
Frequently asked questions
Two Users have the same Role. Why do their dashboards differ?
Roles are only one part of the comparison. Check template recipients, User Group and Location membership, and the selected filter. Personal defaults can open different views even when the dashboard and Role names match.
I made someone a Schedule Reviewer. Does that give them the dashboard?
No. Schedule Reviewers and Dashboard Template recipients are separate. Check Limited recipients to for the dashboard, then check the data access needed by the widget they are trying to use.
My Location Overview stopped showing a Checklist. Should I recreate the dashboard?
Check its filters first, particularly Checklist Categories, Schedules, Locations and time range. Compare one expected Checklist against those selections. Recreating the dashboard will not correct a filter that excludes the work.
