Overview
Where AI Checklist import is enabled for your organization, you can upload a photo or PDF of an existing checklist and use it to prepare a draft in the Checklist editor.
The generated content is a starting point. Review it against the original and configure the working Checklist before assigning it to anyone. Ask your CSM about availability if the option is missing.

💡 Why this matters: Importing a document can reduce initial retyping while keeping the operational decisions with the person responsible for the Checklist.
Prepare the source
Use a clear JPEG, PNG or PDF containing the Checklist you want to recreate. Import accepts one file at a time. For a PDF, only the first pages within the configured processing limit are used, so do not assume a long document will be imported in full.
Choose a legible source with the intended order, wording and answer options. The accepted file size and processing limits depend on the configuration. Follow any limit or validation message shown when you upload.
Generate the draft
1. Open the import dialog
In Checklists, open Create and choose Generate with AI. The dialog is called Import checklist with AI. You need the feature enabled and permission to create in the destination folder.
2. Attach the file
Under Upload one checklist file, choose or drop the source file. Use Short notes (optional) to provide concise context about the intended draft.
3. Acknowledge the review responsibility
Read and accept the acknowledgement that AI output can be inaccurate and that you are responsible for reviewing it before use. Select Generate draft and keep the window open while it works.
4. Name and open the Checklist
When prompted, review the Checklist title and select Open in editor. This opens the generated content for editing; it does not by itself make the Checklist available as scheduled work.
Review every part
🛑 Critical: Compare the generated Checklist with the source before operational use. Check for missing instructions, altered limits, incorrect units and answer options. AI output must not become an approved operating or inspection procedure without the review required by your organization.
Check every page and question against the source, including material beyond the processed PDF pages.
Correct question types, wording, answer options and required-answer settings.
Check scoring, acceptable limits, logic and any triggers you need.
Add and verify the intended manuals, images and other reference material.
Review language, access, comments, images and Assignment options.
Do not assume the document’s layout or prose became working logic, scoring or Schedule rules. Configure those deliberately in the editor and Schedule. See copying Checklists if you already have suitable content in Mobaro.
Save and make it available
Save the reviewed Checklist through the normal editor workflow. Then create or update the appropriate Schedule with the intended targets, Assignees and compliance settings. See choosing a Schedule type.
Try the Checklist as a representative User before wider use. Confirm the question order, reference material, expected answers and resulting report. Keep the original document available for the person approving the new Checklist.
If you already have a suitable Mobaro Checklist, copying it may be a better starting point than importing its PDF. Copying and AI import are separate workflows.
Best practices
Start with a clear, short source document.
Assign one person to compare the draft against the original.
Verify the saved Checklist and Schedule together before rollout.
Frequently asked questions
Can I import an existing checklist instead of typing it again?
Where AI Checklist import is enabled, upload one JPEG, PNG or PDF to generate an editable draft. Ask your CSM about availability. Review the result before use.
Can I copy a Checklist that already exists in Mobaro?
Yes. Use the Checklist copy workflow when the source is already in Mobaro; you do not need to export and re-import it with AI.
Why does the saved Checklist not appear under Continuous Checklists?
Saving a Checklist does not create a Continuous Schedule. Check its Schedule, assignees and Location access; see Checklist visibility.
