Replace routine inspection times for a holiday

Exclude the normal pattern for a holiday and add a Specific slot for the agreed replacement window.

A holiday may need a different inspection window while the regular weekly routine remains unchanged. Use an Exclusion for the normal slots and a Specific for the replacement.

Before you start

Plan the change before the affected slots begin. Check whether the Schedule inherits a master Calendar: an edit there can affect several Schedules. Read Exclusion behaviour.


Walkthrough

1. Confirm the affected Calendar

Open the Calendar Schedule and locate the holiday. Check its inherited Calendar, if any, and which Checklists and Locations share the timing. Avoid changing an organisation-wide Calendar for a single Location’s exception.

2. Exclude the routine window

Click Exclusions in the calendar header, then Add Exclusion. Enter a clear Reason and the intended date/time range. Review the overlap carefully. Leave Exclude Specific Slots off when the replacement Specific should remain available.

3. Add the replacement time

Click the intended holiday date in the calendar to create a Specific for the agreed inspection window. Set the start, deadline and any allowed grace period, then save. It uses the Schedule’s existing Checklists, targets and assignees.

4. Verify the holiday view

Inspect the calendar around the holiday and the following normal working day. Confirm the routine slot is excluded, the replacement Specific remains and the ordinary weekly pattern resumes afterwards. Check the work with an intended assignee.


Check the outcome

The holiday has the intended replacement opportunity without altering subsequent normal days. Already ended work is not rewritten by this planning change.

  • Review master Calendar changes with all teams that inherit them.


Frequently asked questions

Why did my replacement slot disappear?

Check whether the Exclusion has Exclude Specific Slots enabled and whether its time range overlaps the replacement.

Does an Exclusion delete old Missing Results?

No. It is not a tool for rewriting ended work. Handle existing Missing Results separately.

Can I use the same holiday plan for several Schedules?

Yes, through an inherited master Calendar when all those Schedules should share it. See Calendar inheritance.
