Add and troubleshoot import attachments

Map filenames to files, inspect embedded attachments and understand re-scan behavior before importing.

Overview

An Attachment Reference is a filename or path in the Source Table. Assignment Importer can store an Embedded Attachment inside the .mobproj file and upload that file when it creates the Assignment.

Configure Attachment References

1. Choose the attachment mapping

In Project Settings › Attachment Mapping, turn on This project has attachments. Choose Attachments folder and Attachment filename column. Select Single file per cell or Multiple files per cell (semicolon separated).

Use a filename such as restraint-check.png, or a relative path within the selected folder. For multiple files, separate references with semicolons, for example restraint-check.png;inspection-notes.pdf. Single-file mode is the default. Absolute paths can also resolve, but are less portable between computers.

2. Inspect the referenced files

Select an Import Row and inspect Row Data. The attachment column marks references as found or missing. In Row Data, supported embedded images can show a thumbnail and open in a preview. Check the file content as well as its name.


Choose the right re-scan

🛑 Critical: Back up the .mobproj file before re-scanning if it contains your only copies of the attachments. Re-scanning removes an embedded copy when its referenced source file is missing. A normal import can use the embedded copy without the original file.

3. Refresh a replaced file

If you replaced a source file but kept its filename, select the editable Import Row, right-click and choose Re-scan attachment(s). This refreshes the selected references from disk. If the file is missing or unreadable, its embedded copy is removed.

The toolbar’s Re-scan Attachments checks references across the Import Project and embeds newly found files. It keeps an existing embedded copy when that source file still exists, so it does not refresh changed bytes under the same filename. It also removes embedded copies for missing or unused references.

4. Resolve the missing-file prompt

If an Import Run displays Missing attachments detected, choose Cancel to repair the folder, filename or mapping. Choose Continue without missing attachments only when creating the Assignments without those files is acceptable. Available files are still uploaded.


Best practices

  • Keep source files until you have verified the resulting Assignments and saved the Import Project.

  • Save a backup before changing attachment mappings or re-scanning portable projects.


Frequently asked questions

Why is a row ready even though a file is missing?

R checks required Row Mapping fields, not attachment availability. Assignment Importer checks missing files separately before an Import Run and asks whether to cancel or continue without them.

Can I upload the same file twice on one row?

Repeated references on the same Import Row are deduplicated case-insensitively during import. The same reference on different Import Rows is uploaded for each row.

Why is there no thumbnail for my file?

The preview is for supported images. A document can still be a valid Attachment Reference without an image thumbnail; review the file externally if needed.
