Requirement triggers in Checklists

Make a comment or photo mandatory when a Checklist answer meets a condition: supported questions, setup, and what the User sees in the app.

Overview

A Requirement Trigger makes extra evidence mandatory when an answer meets your condition. Give a flagged answer and the User must add a Comment, a Photo, or both, before the Checklist can be completed — so the evidence behind an exception is captured in the moment, not chased later.

Unlike Assignment and Ad Hoc Slot triggers, a Requirement Trigger acts while the User is completing the Checklist. For the other trigger types, see Adding triggers to a checklist.

💡 Why this matters: "Failed — see notes" with no notes is the bane of any inspection record. A Requirement Trigger makes the evidence mandatory exactly when it matters: report a defect and you can't complete the Checklist until you've described or photographed it. Questions that support Requirement triggers

The Triggers panel appears only on these question types: Select Question, Select Question Group, Smiley Question, Number Question, Temperature Question, Date Question and Water Quality Question. For a Water Quality Question that uses a ruleset, the condition is below, within or above the rule's range.

Slider, Duration, Text, Photo, Signature and other question types don't support triggers. For the conditions each type offers, see Adding triggers to a checklist.


Add a Requirement trigger

1. Open the question's Triggers

In the Checklist editor, select the question, expand Triggers, click Add Trigger and choose Requirement Trigger.

2. Set the condition

Under If the answer to this question is:, set the answer that makes the evidence mandatory — for example equal to Not OK, or less than a value. For a Select Question Group or Water Quality Question, first choose the Trigger Question.

3. Choose what's required

Under Then require the following to be added:, open Select option(s) and pick Comment, Photo, or both. Then save the Checklist.

What the User sees

As soon as the answer meets the condition, the Mobile app or RideOps shows the comment field or photo area on the question and marks it as required. The question counts as unanswered until the User adds the comment or at least one photo, so the Checklist can't be completed without it. If the User changes the answer so the condition no longer applies, the requirement goes away.

Photos are taken with the device camera. Users can also pick a photo from the device gallery only if the question has Allow attachments from device gallery ticked under Action Menu Options.

ℹ️ Note: A Requirement Trigger doesn't follow up the problem — it only documents it. To raise a task as well, add an Assignment Trigger with the same condition to the same question. See Assignment triggers in Checklists.


Best practices

  • Require a Photo where a picture removes doubt — damage, leaks, wear — and a Comment where context matters more than an image.

  • Don't require both on every exception; it slows operators down. Target the answers where the evidence earns its place.

  • Pair the Requirement Trigger with an Assignment Trigger on the same failing answer, so the fault is both documented and followed up.


Frequently asked questions

How do I make a photo or comment mandatory only when the answer is Not OK?

Add a Requirement Trigger to the question with the condition equal to Not OK, and choose Photo, Comment, or both. Other answers stay optional.

Can the user skip the required photo or comment?

No. While the condition is met, the question counts as unanswered until the comment or at least one photo is added, so the Checklist can't be completed. Changing the answer removes the requirement.

Can users attach a photo from their gallery?

Only if the question has Allow attachments from device gallery ticked under Action Menu Options. Otherwise the photo must be taken with the device camera.

Can the requirement be a PDF or other file?

No. A Requirement Trigger can require a comment or photos only. To collect a document, add a File Question to the Checklist.

A "No" answer can take days to fix. How do I track it after the checklist is done?

Add an Assignment Trigger to the same answer. It raises an Assignment that stays open until someone resolves it. See Assignment triggers in Checklists.
