Find Schedules that apply through a Location Group

Understand why filtering Schedules by one Location can miss group-targeted work, and trace the Schedule that supplies it.

Overview

If filtering Schedules by a Location does not show all the work at that Location, check whether a Schedule targets a Location Group instead. The list filter and the question “what work reaches this Location?” are not identical.

Use this guide to locate the Schedule before editing it. It does not change when a Checklist becomes available or who may complete it.

💡 Why this matters: Finding the original targeting route avoids creating duplicate Schedules or changing the wrong work when a list looks incomplete.


Clear the competing filters

1. Start with a known name

Check the active organization. Clear the Location, Asset, User Group, Checklist, Calendar and criticality filters, then search for the Schedule’s name. The text search is for the Schedule’s name and description, so a Checklist’s name may not find it.

2. Use the Checklist filter

If you know the Checklist but not its Schedule, use the Checklist filter. A Checklist may be used by more than one Schedule. Check each candidate’s target and timing before choosing the one to edit.

3. Check list access

Without Schedules › View, the Backend list is limited to Schedules you own or created. Being assigned to complete work does not by itself provide the same list as an administrator. Ask an authorized owner to help locate the source.

A direct Location

Select that Location in the Schedule filter.

A Location Group

Select the group used on the Schedule and inspect its member Locations.

An Asset

Use the Asset filter and confirm the Asset’s Location.

Several routes

Inspect both target selections and exclusions in Where?.

For Location-targeted Schedules, the list matches the Location or Location Group selections stored on the Schedule. Selecting one member Location does not automatically expand the filter to every Location Group containing it.

Once you find the Schedule, inspect Where? to confirm the intended targets and exclusions. Use Calendar Schedule setup and Location Groups for the configuration steps.

ℹ️ Note: A Schedule can appear in a group-filtered list even when a particular member Location is excluded from its work. Finding the Schedule is the start of the check, not proof of availability at every Location in the group.


Check the work separately

After locating the Schedule, check its Checklist, assignees and Calendar entries. A visible Schedule can still have no current occurrence. For verification at each Location, use Schedule Metrics where that feature is enabled.

If the Schedule is correct but the colleague cannot see the work, use missing Checklists in the app. If the question is which Schedule type to use, see choosing a Schedule type.


Send a precise example

If the list still looks wrong, send Support the Schedule link, selected filters, expected Location and the Location Group you believe supplies the work. Include whether the same Schedule appears after clearing filters and whether another authorized User can see it.


Best practices

  • Use distinct Schedule names and the Checklist filter together.

  • Inspect group targeting before adding a duplicate direct target.

  • Record all active filters when comparing two lists.


Frequently asked questions

Why doesn’t a Location filter show every Schedule involving that Location?

Some Schedules target its Location Group. Search for the group used on the Schedule, then inspect Where? and its exclusions. The list does not expand one Location selection into every group containing it.

I know the Checklist, but why can’t I find its Schedule by name?

The text search checks Schedule names and descriptions. Use the Checklist filter if the Schedule has a different name, then inspect the matching targets.

I found the Schedule. Why is no one seeing its work?

Check its current Calendar entries, target Locations and assignees. Finding a Schedule in the Backend does not establish that work is available now. See missing Checklists in the app.
