Arrange cover for Checklist reviewers

Give a backup reviewer the Schedule access and notifications needed to cover an absence, then remove temporary access deliberately.

Written by Logan Bowlby

Overview

Prepare review cover before the normal reviewer leaves. The backup needs the correct Schedule reviewer assignment and access to the work, as well as a clear agreement about which Results they will review.

💡 Why this matters: Review cover keeps submitted inspections moving without making a temporary reviewer responsible for unrelated work.

Before you start

List the Schedules and Locations in scope and agree the cover dates outside Mobaro. There is no automatic end date on the reviewer membership. Review any separate Certification Processes or Ad Hoc Slots as their own workflows.

Walkthrough

1. Add the backup reviewer

Open each relevant Schedule and add the backup User or User Group under Who? › Reviewers. Keep the normal reviewer if both need access during the handover. Use a group when cover is a standing team responsibility.

2. Check Location access

Confirm the backup has membership of each target Location through the intended User Group, Location Group or direct membership. Review Role permissions for the actions they must take. Missing Result approval needs its own permission; normal Result review and missed-work review are different.

3. Enable the relevant alerts

Have the backup review personal notification settings for Result requires validation/review. Enable Missed results digest only if missed-work follow-up is also part of the cover. Notification preferences do not grant review authority.

4. Check a Result requiring review

Ask the backup to open a representative Result under their own account and confirm the expected review controls. Check any older pending Results separately: changing a Schedule is not a promise that every historical Result’s stored access changes.

Check the outcome

At the end of the cover, clear the pending queue together, remove temporary reviewer memberships and remove any separately granted temporary access that is no longer needed. Keep the review decision attributable to the person who actually made it. See Result validation and reviewer access checks.

Best practices

  • Use a written cover list for several Schedules.

  • Test access before the absence starts.

  • Keep review alerts separate from notification email distribution.

Frequently asked questions

Does a reviewer need Location access?

For this cover workflow, give the backup access to the target Locations as well as the Schedule reviewer assignment. See the access guide for the complete rules.

Can a User Group be a reviewer?

Yes. Add the group under the Schedule’s Reviewers and verify that the intended members have the necessary Location access.

Will editing the Schedule change old Result visibility?

Do not assume so. Historical Results carry stored access information. Test the older pending Results and use the specific Result-access guidance if the backup cannot open them.
