Overview
Mobaro gives you three ways to manage a User who no longer needs the same level of access: disable them temporarily, delete them permanently, or re-enable a previously disabled User. Picking the right action depends on whether the User might return, what mappings need to survive, and how strict your audit requirements are.
Why this matters: Disabling is reversible and preserves every mapping in the system. Deleting is permanent and clears the User from Assignments, Schedules, User Groups, Locations, Roles, Notification Rules, and Certifications. When in doubt, disable.
Required access: To disable, delete, or re-enable a User, you must be a Super User or hold a Role with the Users: Delete permission.
Disable a User
Disabling immediately blocks a User from logging into your Organization while keeping their User record and every mapping intact. The User cannot access the Mobaro Backend or mobile app, but everything connected to them — Assignments, Schedules, User Group memberships, Location memberships, completed Results, etc. — remains in place and ready for their return.
Best fit for: Seasonal staff between seasons, employees on extended leave, or anyone whose access should pause without losing their setup.
Disable a User
From the Mobaro Backend, navigate to Users, search for and select the User, then click Disable.
Note: A disabled User retains their email address in the system, so they cannot be re-created with the same email until they are either re-enabled or fully deleted. If you need to free up the email immediately, delete the User instead of disabling.
Delete a User
Deleting permanently removes the User and clears their mappings throughout the system. Historical data — completed Results, finished Assignments, and audit trails — is preserved with original attribution, but the User is no longer available as an active assignee, filter, or member of any group.
Best fit for: Permanent departures, cleanup of test or duplicate accounts, or compliance-driven removal where the User should no longer appear in dropdowns or filters.
Delete a User
From the Mobaro Backend, navigate to Users, search for and select the User, then click Delete.
Critical: Deletion cannot be undone. All of the following mappings are cleared the moment you confirm:
Assignments assigned to this User become unassigned.
Checklist Assignment Triggers with this User as Assignee become unassigned.
Checklist Questions referencing this User are updated.
Schedules assigned to this User are updated.
Roles, User Groups, Locations, and Location Groups containing this User are updated.
Notification Rules with this User as recipient are updated.
Certifications belonging to this User are deleted.
Note: Historical Results and completed Assignments stay in the system after deletion, but the User no longer appears as an active filter option. Reporting on past activity remains accurate.
Re-enable a disabled User
A previously disabled User can be brought back at any time. Re-enabling restores access immediately, and the User regains the same Roles, User Group memberships, Location memberships, and settings they had before being disabled.
Re-enable a User
From the Mobaro Backend, navigate to Users, search for and select the disabled User, then click Enable.
Tip: To find disabled Users quickly, use the Status filter at the top of the Users page and select Disabled.
Users in multiple Organizations
If a User belongs to more than one Mobaro Organization, each Organization is managed separately. Disabling, deleting, or re-enabling a User in one Organization does not affect their access in another.
Note: To edit, disable, or delete a User who belongs to multiple Organizations, you must:
Be a member of every Organization the User belongs to.
Have edit permissions on Users in each of those Organizations.
Watch out: A common mistake is disabling a User in one Organization and assuming their access is fully revoked. If they belong to other Organizations, they can still log in there. Repeat the disable or delete action in every Organization that should lose them.
Super Users
Super Users are handled differently. Disabling or deleting a Super User cannot be done from the Mobaro Backend — it must be requested through Mobaro Support so the change is logged and verified.

Frequently asked questions
Q: Should I disable or delete a User?
A: Disable when the User might return or when you need their mappings preserved (most common). Delete when the User is permanently gone and you want them removed from filters and dropdowns.
Q: Can a deleted User be restored?
A: No. Deletion is permanent. If you need access for the same person later, create a new User account.
Q: What happens to a deleted User's historical data?
A: Completed Results, finished Assignments, and audit log entries are preserved with original attribution. The User just no longer appears as an active filter or assignee.
Q: Can I disable a User without losing their schedule?
A: Yes. Disable preserves every mapping including Schedule assignments. The User simply cannot log in until re-enabled.
Q: Why can't I disable or delete a Super User?
A: Super User changes are routed through Mobaro Support to maintain an audit trail and prevent accidental account lockout. See Deactivating a Super User.
Q: Will a disabled User still receive notifications?
A: No. Disabled Users do not receive any Mobaro notifications. Re-enabling restores notification delivery alongside login access.
Q: The User belongs to multiple Organizations. Do I need to disable in each one?
A: Yes. Each Organization is independent. To fully revoke access, disable or delete the User in every Organization where they have access.
