Overview
Assignments track work that needs doing across your operation — a failed inspection item, damage to repair, a safety follow-up, or planned maintenance. Each one carries a title, description, location, priority, due date, and an assignee, so everyone knows what needs to happen, where, and by when.
Users must be Super Users or have access to the relevant Location, plus the following Role to create Assignments:

Why this matters: An issue spotted but not logged is an issue that gets forgotten. Assignments turn observations into tracked, owned, documented work — closing the loop between finding a problem and fixing it.
Create an assignment from the Backend
Go to
Assignmentsand click+ Create Assignment.If Assignment Definitions are enabled, select the appropriate definition.
Fill in the details (below) and click
Save.

Title | A short, clear description of the task (e.g. Replace loose handrail). |
Description | Detailed context and expectations — steps taken or problems observed. |
Location | Where the work needs to happen. |
Asset | The asset the Assignment targets (with Asset Management). |
Category | Categorize for reporting (e.g. Maintenance, Safety, Housekeeping). |
Due Date | When it should be completed. |
Priority | Low or High (custom values are possible with Assignment Definitions). |
Assignee(s) | A User, a User Group, or a combination. |
Attachments | Images or documents that add context — especially for visual issues. |
Create an assignment from a checklist
Assignments can also be raised mid-inspection in the mobile app:
While completing a Checklist, tap the
+icon on a failed or flagged item.Choose Create Assignment.
Add any further details and save.
Note: Once the Checklist is submitted, the Assignment is created and linked to that Result — a closed loop between the inspection and the follow-up work. A question's Assignment trigger can also raise one automatically.
Delegating an assignment
An Assignment can go to one or more Users, one or more User Groups, or a mix. To assign or reassign, open it, click the Assignee field, choose your users or groups, and click Save.
Best practice: Assigning to a group (e.g. Facilities) lets any member pick the task up — more flexible than tying it to one person who might be off shift.
Tracking and managing
From the Assignments section you can filter by status, priority, location, or assignee; sort by due date; comment to log progress; and resolve an Assignment by marking it Finished with an optional Solution. The activity feed logs every status change, comment, and reassignment for a full audit trail. Assignments are fully actionable in the mobile app too — view, filter, resolve, reassign, and create new ones.
Frequently asked questions
Q: Can I create recurring assignments?
A: Not directly. Use recurring Checklists (with Assignment triggers) for repeating work, or reassign manually.
Q: Who can create and delegate assignments?
A: It depends on Role. By default a User needs access to the relevant Location; grant more via Roles (e.g. Assignments: View / Create / Modify).
Q: Can I track completion rates?
A: Yes — Assignment data appears in dashboards and reports. Filter by completion, overdue, and category. See Reporting on and exporting assignments.
