Working online versus offline with Mobaro

How the Mobaro app works offline: what's on your phone, downloading Checklists, the upload queue, and what happens to unfinished work.

Overview

The Mobaro app is built for places where the connection comes and goes. Online, your work uploads straight away. Offline, the app keeps working from the data already on your phone, queues what you finish, and uploads it when the connection returns.

What your phone keeps offline

When you sign in, and each time the app refreshes, it downloads your working data:

  • Scheduled Checklist slots assigned to you or your User Groups, at Locations you're a member of, that start within the next 6 days, plus your continuous Checklists.

  • Your unfinished Assignments.

  • Library items shared with you or used in your Checklists.

The app treats this data as current for 15 minutes and then refreshes it the next time you open a screen. To refresh straight away, tap the refresh icon in the home-screen header. If a refresh fails, the app keeps using its last copy and shows Couldn't refresh.

⚠️ Heads-up: Sign in at least once while online. The first sign-in downloads your data; without it, the app has nothing to work with offline. New Checklists, Assignments and Library content only reach your phone when it's online.


Prepare Checklists for offline use

Any Checklist in your list opens offline. What may be missing are its images and PDFs. Download for offline fetches those files ahead of time. If you're offline and a Checklist's files aren't on the phone yet, the app shows "You seem to be offline, but this checklist is not available offline." A Checklist with nothing to download shows N/A Offline.

1. Swipe left on the Checklist

Do this in the Checklists list while you're still online.

2. Tap Download for offline

The files download in the background, one at a time. When they're done, the Checklist shows Available Offline.

An administrator can also set a Checklist to Require downloading the entire checklist for offline use. Those Checklists download their files before they open, even online.


Connection indicators

The connection tile on the home screen shows one of three states.

CONNECTION AVAILABLE: the app can reach the Mobaro server. Your work uploads as you go, and the tile shows No pending uploads when the queue is empty.

CONNECTION LOST: the app can't reach the server, whether there's no signal or a weak connection. You can keep working; finished work is queued on the phone.

What works offline

Works offline:

  • Completing Checklists in your list (with their files downloaded if they have images or PDFs).

  • Creating, editing and resolving Assignments, and adding comments.

  • Time registrations and profile changes.

  • Opening Library items that are already on the phone, and the Certification Center.

Needs a connection:

  • Operations (opening and closing Locations, starting Downtime; see Managing Downtime and uptime from the mobile app), Location Overview, Reports, Gallery and Support.

  • The Notification Center, and receiving new notifications.

  • Save in the Cloud and resuming progress saved in the cloud.

  • Anything new since the app last refreshed.

Notes can't be created in the Mobaro app at all; they're created in RideOps and the Backend. For offline support by feature area, see Compatibility of the different features.


The upload queue

Everything you finish offline waits in a queue on the phone and uploads automatically once the app can reach the server. Items upload one at a time, photos first, so a queue with many photos delays the results behind it. A Checklist completed offline keeps the time you completed it, but Dashboards, notifications and approvals only see it once it has uploaded. The app's own Location Overview doesn't load while you have results waiting to upload.

Queued items belong to the user who created them. If you sign out with items still queued, the app warns you (Pending upload(s)), and the items wait on the phone until the same user signs in again.

🛑 Critical: Don't uninstall the app, clear its data or reset the device while items are still uploading. That deletes the queue, and the work can't be recovered. Signing out only pauses uploads until you sign back in.


Unfinished or late Checklists

When you leave a Checklist with Save to this Device, the progress stays on the phone. For a scheduled Checklist, once the slot's deadline passes or the slot leaves your list, the app sends that progress automatically as an expired, unfinished result. Progress you delete, and progress sent from Profile › Recovery Procedures, is sent the same way. Progress on continuous Checklists doesn't expire.

Unfinished results don't appear under Results and don't complete the slot. Mobaro keeps them where only Mobaro staff can see them. If work is missing, contact Mobaro Support with the user, the Checklist and the approximate time, and they can recover it.

⚠️ Heads-up: Saved progress isn't a Result. Finish scheduled Checklists before their deadline, or the slot can end up as a Missing Result even though you started it.


How long you can work offline

The queue has no fixed size, but offline time has practical limits. The phone only holds slots starting within the next 6 days, saved progress on scheduled Checklists expires at the deadline, and new work only arrives when you're online. Come online at least once a day.


Troubleshoot a stuck queue

If a Checklist you finished doesn't appear in the Backend, or an expected email notification doesn't arrive, the result is probably still queued on the phone.

1. Check the device has internet

Open a browser on the device and go to app.mobaro.com. If the page doesn't load, fix the device's connection first.

2. Check the connection tile

If the number of items is going down, the app is uploading; wait for it to finish. If it's stuck, the app can't reach the server even though the browser can.

3. Close and reopen the app

Swipe the app away from the recent-apps view, then launch it again. The app retries the queue.

4. Confirm the result in the Backend

When the tile shows No pending uploads, everything has reached the server. Check the Backend to confirm.

5. Contact support if it's still stuck

Take a screenshot of the connection tile and email [email protected] with your user and the approximate time you finished the work. Don't sign out or reinstall to fix it.


Worked examples

Wi-Fi works, Mobaro doesn't sync. A tablet shows a strong Wi-Fi signal, but its connection tile has shown 7 items for an hour. The operator opens app.mobaro.com in a browser and it doesn't load: the Wi-Fi has no internet access. Once the tablet moves to a working network, the queue uploads and the tile shows No pending uploads.

Preparing for a remote station. A lifeguard's station has poor signal. On the lobby Wi-Fi, they refresh the app and use Download for offline on the water-test Checklist, which contains reference images. All day they complete Checklists offline while the queue grows. Back in the lobby at the end of the shift, everything uploads.


Best practices

  • Before heading somewhere with poor signal, refresh the app and download any Checklists that contain images or PDFs.

  • Finish scheduled Checklists before their deadline instead of saving progress to the device.

  • Reconnect at least once a day, and check the connection tile shows No pending uploads before handing over a device.


Frequently asked questions

My checklists are stuck uploading. What do I do?

Check the device can open app.mobaro.com in a browser, keep the app open, and watch the connection tile. Photos upload before results, so a large queue takes time. If the count doesn't drop, close and reopen the app, then contact support. Don't uninstall.

Why does the app say "Mobaro could not connect to the server"?

You opened something that needs a live connection: a screen such as Operations, Location Overview, Reports or Gallery, or an image or video that isn't on the phone yet. Checklists and Assignments keep working offline; try again with Wi-Fi or data.

How do I download a checklist to use offline?

In the Checklists list, swipe left on the Checklist and tap Download for offline while you're online. This is only needed for Checklists with images or PDFs; others open offline anyway.

I did a checklist offline and now I can't find the result. Where is it?

If it's still queued, the connection tile shows items uploading; get online and let it finish. If you saved progress instead of finishing, and the deadline passed, it was sent as an unfinished result that isn't shown under Results. Contact Mobaro Support to recover it.

Will I lose my work if I log out with uploads pending?

No. The items stay on the phone and upload when the same user signs in again. Uninstalling the app or clearing its data is what deletes them.
