Create new users in your organization

Create a User in Mobaro: who can do it, email and sign-in rules, and how Roles, User Groups and Locations are assigned.

Overview

Adding Users gives your team access to Mobaro so they can complete Checklists, work on Assignments and receive notifications. When you create a User you choose how they sign in and, if you are a Super User, which Roles, User Groups and Locations they get.

Create a User

1. Open Users

In the Backend, go to Users in the sidebar.

2. Click Create

Click the + button (tooltip Create). The User editor opens on the right.

3. Enter name and email

Enter the Name and Email. Both are required. The email must be unique across the whole Mobaro platform, not just your organization: if anyone in any organization already uses it, you see Email is in use and can't save.

4. Choose how the User signs in

If your organization has single sign-on, choose the sign-in method: Password or Single Sign-On (SSO). Without SSO, every User signs in with a password.

  • Password: enter a Password. The editor lists the rules it must meet, for example between 8 and 256 characters, including at least 3 of: lowercase letter, uppercase letter, digit, symbol. Tick Force user to change password at next login so they choose their own.

  • Single Sign-On (SSO): no password is needed. The User's SSO Status shows Queued until Mobaro sends their invitation, then Pending until they accept it. If you add the User to a User Group with Require single sign-on, SSO is selected for you. See Controlling SSO access with user groups.

Super Users also see Disable Mobaro authentication. It removes the option to log in with a Mobaro password and is only relevant for Users who sign in with SSO.

5. Assign Roles, User Groups and Locations

In Direct Memberships, add:

ℹ️ Note: Only Super Users can change Roles, User Groups, Locations and Operator Locations in the User editor; for everyone else these fields are read-only. Without Super User access, add the User from the other side: edit the Role, User Group or Location and add them there. That needs the matching permission, for example User Groups › Modify.

6. Adjust other settings and save

Optionally set a Phone number, Language and Profile Image, notification and app settings, date and time format, and a RideOps PIN Code (exactly 4 digits). Super Users can also set an External ID for integrations and tick Only allow administrator to make changes to lock the profile. Then click Save.


Best practices

  • Give every new User a Role so they only get the access they need.

  • Use User Groups to organize staff by department, team or area, and to grant Location access to many Users at once.

  • Tick Force user to change password at next login when you set a password for someone else.

  • Review Roles and User Group memberships regularly. See Best practices for role management.

Frequently asked questions

It says the email is in use, but I can't find the user. Why?

Email addresses are unique across all of Mobaro, so the person most likely has an account in another Mobaro organization. You can't add existing users from other organizations yourself: contact Mobaro Support to add them to yours.

Why can't I add roles or user groups in a user's profile?

Only Super Users can edit Direct Memberships in the User editor. Instead, open the Role, User Group or Location and add the User there; that needs the matching permission, such as Roles › Modify or User Groups › Modify.

Does Mobaro email new users their login details?

Not for password Users: Mobaro doesn't send a welcome email, so share their email and password yourself. Users created with Single Sign-On (SSO) receive an invitation email to sign in.

Can I import users in bulk?

Not yourself. Mobaro can import Users from an Excel sheet for you; contact Mobaro Support or your CSM. Integrations can also create Users through the Mobaro API.

Why is the External ID field greyed out?

Only Super Users can set or change a User's External ID. Ask a Super User in your organization to update it.

How do I make someone a super user?

You can't do this in the User editor. Super User access is granted by Mobaro; see Activating a new Super User.
