Overview
A Schedule publishes a Checklist from the Backend to the mobile app. It decides who can complete the Checklist, at which Locations or Assets, and when.
There are three ways to schedule a Checklist: a Calendar Schedule for checks due at set times, a Continuous Schedule for checks that are always available, and an Ad Hoc Slot for one-off checks.

What you need first
Every Schedule needs at least one of each:
A Checklist.
A target: a Location, Location Group or Asset.
An assignee: a User or User Group.
🛑 Critical: Assignees who aren't members of a target Location — directly or through a User Group — can't see or complete the Checklist there. Check Location membership before you rely on a Schedule for a pre-opening or safety check.
Choose a Schedule type
Type | Use it for | If it isn't done |
Calendar Schedule | Checks due at set times, such as daily inspections or pre-opening checks | A Missing Result is created |
Continuous Schedule | Checks users run whenever needed, as often as needed | Nothing — it can't be missed |
Ad Hoc Slot | One-off or event-driven checks | A Missing Result is created |
Create a Calendar Schedule
1. Open Schedules
Go to Schedules.
2. Create the Schedule
Click Create and choose Calendar Schedule.
3. Fill in the Schedule
General: a Title and the Time Zone for the slots. You can only choose the time zone now.
What?: the Checklists.
Where?: the Locations, Location Groups or Assets.
Who?: Assigned to, and optionally Reviewers, Owners and Results visible to — see Schedule stakeholders: assignees, reviewers, and owners.
Compliance (optional) — see Schedule compliance settings.
4. Save
Click Save. Use the Results Expected panel and Show Details to check that the Checklists, targets and assignees add up as you expect.
A Calendar Schedule has no slots until you add them with Patterns, Specifics or a master Calendar. For every option, see Calendar schedules — setup and behavior.
Add weekly slots with Patterns
A Pattern repeats a slot on the weekdays you pick, such as every Friday 9am–3pm.
Open the Schedule's calendar view and click Patterns, then Add Pattern.
Add a title and choose the days in Available every.
Set the start and end time.
Optionally tick Allow grace period (see Adding Grace Periods to Schedules and Calendars), Set Start Date or Set Expiration Date, and add Reminders — a push to Assignees if the Checklist isn't done by then (see Adding reminders to Schedules).
Click Save Changes.
⚠️ Heads-up: Patterns only repeat weekly, and each slot must start and end on the same day. There is no monthly, every-other-week or overnight Pattern — use Specifics for those (see the FAQ below).
Add one-off slots with Specifics
A Specific is a single slot on dates you choose. It can span several days or run past midnight.
In the Schedule's calendar view, click the start date to open Configure Specific.
Set the start and end date and time, and optionally a grace period and reminders.
To reuse these settings, tick Use values as preset when creating new specifics: the next date you click gets the same times, grace period and reminders.
Click Save Changes.
Share slots with a master Calendar
A master Calendar holds Patterns and Specifics that many Schedules can inherit — useful for a group of daily pre-opening Schedules. To create one, go to Schedules › Calendars, click Create, give it a title, click Save, and add Patterns and Specifics. See Creating a master Calendar.
To use it, click Edit on a Calendar Schedule, then Inheritance and Add Calendar. Choose the Calendar. Tick Include started pattern slots or Include started specific slots to include slots already under way; otherwise it starts with the next full slot. See Inheriting a master Calendar into Schedules.
A Schedule can inherit several master Calendars — for example, one per season, inherited only for the seasons each Location operates:
Location 1: Spring, Summer and Fall; not Winter.
Location 2: Summer and Fall; not Spring or Winter.
Location 3: Spring, Summer and Winter; not Fall.
Skip dates with Exclusions
An Exclusion pauses a Calendar Schedule for a period, such as a park closure, without changing its slots.
Click Edit on the Calendar Schedule, then Exclusions.
Click Add Exclusion and enter a Reason.
Set when the Exclusion starts and ends.
Optionally tick Exclude Specific Slots to skip Specifics as well as Pattern slots.
Click Save Changes.
Any slot that overlaps the Exclusion is skipped completely. For example, a slot from 4am to 4pm on 1 January is skipped by an Exclusion starting at 1pm that day. An Exclusion applies to every target of the Schedule.
🛑 Critical: An Exclusion can't cancel a slot that has already started. Deleting the Specific or Pattern, or removing the master Calendar, ends the active Checklists without creating Missing Results — and deleting a Pattern also removes all its future slots. To record them as Missing Results instead, change the Specific's end time to now.
Create a Continuous Schedule
Go to Schedules, click Create and choose Continuous Schedule.
Fill in General, What?, Where? and Who? as for a Calendar Schedule.
Optionally set Behavior (for example restart on completion) and Compliance.
Click Save.
Assignees find the Checklist under Continuous Checklists in the app. See Continuous schedules — setup and behavior.
Create an Ad Hoc Slot
An Ad Hoc Slot is a one-off slot. Besides creating it by hand, it can come from a Checklist trigger, from rescheduling a Missing Result or an expired invalidated Result, or from the Mobaro API. See Ad Hoc Slots — setup and behavior.
Go to Schedules › Ad Hoc Slots and click Create.
In General, set the start and deadline, and optionally a grace period and reminders.
In What?, choose the Checklists; in Where?, the targets.
In Who?, add Assignees, and optionally Reviewers, Owners, Results visible to, Notify assignees when scheduled checklist(s) becomes available and a Message to the assignee (optional).
Optionally set Compliance, then click Save.
Best practices
Use a master Calendar for Schedules that share operating days, and put shared closures on it as Exclusions.
Add Exclusions before closures start — they can't stop slots already under way.
Frequently asked questions
How do I schedule a checklist monthly, every two weeks or once a year?
Patterns only repeat weekly, so there's no monthly, fortnightly or yearly Pattern. Add a Specific for each date instead — on a master Calendar if several Schedules share them. A Specific can stay open for several days. See Calendar schedules — setup and behavior.
The park is closed today or tomorrow. How do I stop the checklists?
Add an Exclusion that covers the closure before the slots start. It skips them for every target of that Schedule or master Calendar. Slots that have already started can't be excluded — approve their Missing Results afterwards with a comment such as "Park closed".
Can a checklist run overnight, for example 8pm to 1am?
No, not with a Pattern: a Pattern must start and end on the same day, and its grace period can't run into the next day. Use a Specific, which has its own start and end dates. Tick Use values as preset when creating new specifics to repeat it quickly.
How do I add a checklist to an existing schedule?
Open the Schedule, click Settings in its header, add the Checklist under What? and save. It becomes available at every target and in every slot of that Schedule.
Why can't a user see the scheduled checklist in the app?
Check that they are in Assigned to (directly or through a User Group), that they are a member of the Location, and that a slot has started — Calendar and Ad Hoc Checklists only show during their slot unless Allow early start is on. Then have them refresh the app.
Can a checklist run several times a day, or every hour?
Yes. Each Pattern has one start and end time, so add a Pattern for each time (for example "Opening" and "Closing", or one per hour) on the same Schedule. If the exact time doesn't matter, use a Continuous Schedule instead.
