Overview
Assignments track work that needs doing across your operation — a failed inspection item, damage to repair, a safety follow-up, or planned maintenance. Each Assignment has a title, a Location, one or more assignees and, optionally, a description, priority, start and deadline, categories and attachments, so everyone knows what needs to happen, where, and by when.
Any User in your organization can create an Assignment. There is no separate Role permission for creating Assignments.

Who can do this | Any User in your organization. An Assignment Definition's Who can create setting can limit that definition to certain User Groups. |

💡 Why this matters: An issue that's spotted but not logged is an issue that gets forgotten. Assignments turn observations into tracked, owned, documented work — closing the loop between finding a problem and fixing it.
Create an assignment in the Backend
1. Open Assignments
Go to Assignments and click the + icon (Create) in the table toolbar.
2. Choose where and who
The Delegation panel opens first:
Assignment Definition — shown only if your organization uses Assignment Definitions. Pick the type of Assignment. See Using Assignment Definitions.
Applies to (Location) — the one Location where the work happens. Required.
Attach to asset — appears when the Location has Assets. Optional.
Assigned to (User or User Group) — who does the work. Required.
Click Next.
3. Fill in the details and save
Complete the General Information panel, then click the Save icon.
Field | What to enter |
Title | A short, clear name for the task (e.g. Replace loose handrail). Required. |
Description | Context and expectations — what was observed, what needs doing. |
Status or State | Starts as Created (or the definition's initial state). |
High priority or Priority | A checkbox for standard Assignments; the definition's priorities otherwise. |
Starts at / Ends at | When work can start and the deadline. |
Assignment Categories | Categories for filtering and reporting. |
Attachments | Photos or documents that add context. |
⚠️ Heads-up: While you type the Title, Mobaro checks for similar Assignments and shows "There are N similar assignments" if it finds any. Open the list before saving — the issue may already be logged. See Avoid duplicate Assignments.
Create an assignment from a checklist
Assignments can also be raised while someone completes a Checklist in the mobile app. The question must have Allow assignments turned on in the Checklist editor. The Assignment is linked to the Result, so you can trace it back to the question that raised it.
A question can also raise an Assignment automatically when it gets a particular answer. See Assignment triggers in Checklists.
Delegate or reassign an assignment
An Assignment can go to one or more Users, one or more User Groups, or a mix. To reassign, open the Assignment, change Assigned to (User or User Group) in the Delegation panel, and click Save. To reassign many at once, see Bulk-managing Assignments from the Backend.
The assignee list only offers Users who have access to the Assignment's Location, and User Groups with at least one such member. An Assignment Definition can narrow it further with Who can be assigned.
Request parts for an assignment
If your organization uses Inventory, you can request the parts a job needs from the Assignment itself by raising a Requisition: list the Products and quantities and the Warehouse to draw them from. See Requisitions: requesting and fulfilling stock.
Track and resolve
From Assignments you can filter by status, priority, Location, Asset or assignee, sort by deadline, and comment to log progress. The activity feed records every status change, comment and reassignment. To change the status or resolve an Assignment, see Understanding assignment statuses and Resolving, documenting, and reopening Assignments.
Best practices
Assign to a User Group (e.g. Facilities) so any member can pick the task up, rather than tying it to one person who might be off shift.
Write titles that name the thing and the problem, so the similar-assignments check and search can find them later.
Request parts on the Assignment rather than taking them off the shelf separately, so you can later see what each job consumed.
Attach a photo when the issue is visual — it saves the assignee a trip to find it.
Frequently asked questions
When I create an assignment, the user or user group I need doesn't show up. Why?
The list only shows Users with access to the Assignment's Location. If your Role can't view Users, it also only shows members of User Groups you belong to or can delegate to. Also check the definition's Who can be assigned and Limit type of assignee to.
What permissions does a user need to create assignments?
None — any User in your organization can create an Assignment. If someone can't, check whether Disable default assignment definition is on and every Assignment Definition's Who can create excludes their User Groups. See Using Assignment Definitions.
Can I set up repeating assignments?
No. Assignments are one-off. For recurring work, schedule a Checklist and use Assignment triggers to raise an Assignment when an answer needs follow-up. See Calendar schedules — setup and behavior.
How do I change who an assignment is assigned to?
Open the Assignment, change Assigned to (User or User Group) in the Delegation panel, and click Save. To reassign several at once, select them in the Assignments table — see Bulk-managing Assignments from the Backend.
Why is the description greyed out when I edit an assignment?
The Assignment was created through the Public API with a read-only description. Only an API call can change it; everything else on the Assignment can still be edited.
