Activating a new Super User

How to ask Mobaro to make someone a Super User in your organization, what to include in the request, and what happens after activation.

Written by Logan Bowlby

Overview

Only Mobaro can make someone a Super User or remove Super User status. There's no option for it in the Backend. This article shows how to ask Mobaro for a new Super User and what happens next. For what Super Users can and can't do, see What is a Mobaro super user?.

Super User status applies per organization. A Super User has every permission in each organization they're a Super User of, and no extra access in any other organization. If someone needs Super User access in several organizations, ask for each one.

💡 Why this matters: Super User access can't be scoped within an organization. The person gets every permission there, including creating, editing and deleting Users, Locations, Checklists, Schedules and Dashboards. Most people are better served by a Role.

Check whether a Role will do

Before you ask for a Super User, check whether a Role gives the person what they need. Ask for Super User access when the person needs to:

  • Administer everything in the organization.

  • Change Users' Roles, User Groups and Locations from the User editor.

  • Add Locations to User Groups, set External IDs, or create RideOps Keys.

Use a Role instead when the person only needs some areas (for example Checklists or Dashboards) or only needs to view things. See Set up Roles to manage permissions.

Who can make the request

Requests must come from an existing Super User in the organization, or from an account owner or decision-maker Mobaro has on file (for example, the person who signed your contract).

⚠️ Heads-up: Mobaro checks the requester's authority before activating a Super User. Requests from anyone else are sent back to your Customer Success Manager for confirmation, which delays activation.

Send the request

Use the button below to open a pre-filled email to [email protected]. Fill in the placeholders and send it from the email address Mobaro has on file for you. Include:

  • Name of requesting User — your name.

  • Name of Organization — the Mobaro organization where the person needs Super User access. List each one if there are several.

  • Name of requested new Super User — their full name.

  • Email of requested new Super User — the email address they sign in with. If they don't have a Mobaro user yet, say so; Mobaro can create one as part of the activation.

  • Mobaro Academy access — Yes or No, depending on whether they should also get a Mobaro Academy login.

ℹ️ Note: Standard requests are usually processed within one to three Mobaro support business days. For urgent requests, copy your Customer Success Manager.

After activation

Once Mobaro has activated the access, the new Super User sees it the next time they sign in to the Mobaro Backend. There's nothing to set up on your side. Suggested first steps for the new Super User:

Remove Super User access

Removing Super User status also goes through Mobaro: you can't disable, delete or edit a Super User in the Backend. See Deactivating a Super User.

Best practices

  • Default to a Role; ask for Super User access only when a Role can't meet the need.

  • Keep at least two Super Users per organization, so a single person's absence doesn't block urgent changes.

  • Ask Mobaro to remove Super User access as soon as someone changes job or leaves.

Frequently asked questions

I don't see the option to make someone a super user. How do I do it?

You can't do it in the Backend. Only Mobaro can make someone a Super User or remove Super User status. Email [email protected] with the details listed under Send the request, or use the Activate a new Super User button.

How do I get super user access in another of our organizations?

Ask Mobaro, naming each organization. Super User status applies per organization, so being a Super User in one organization gives no extra access in another.

Can I remove a super user, or change them back to a normal user?

Not yourself. Ask Mobaro Support: they can remove Super User status. See Deactivating a Super User.

Does a new super user get Mobaro Academy access?

Only if you ask for it. Answer Yes to Mobaro Academy access in your request. See How do I access the Mobaro Academy and get started with the courses?.

Can super user access be temporary?

Not automatically: Super User access has no end date. Ask Mobaro to remove it when the person no longer needs it.
