Completing Checklists across multiple devices and users

Save unfinished Checklists to the cloud so you or colleagues can resume on another device, and what your organization can restrict.

Overview

When you leave an unfinished Checklist in the Mobaro mobile app, you can keep your progress on the device or save it to the cloud. A cloud save lets you continue on another device and, with Allow others to resume, lets a colleague pick up where you left off. This article covers saving, resuming and the rules that apply. 💡 Why this matters: Long inspections often span shifts and devices. Saving to the cloud keeps the work in one Result, so the next person continues it instead of starting a duplicate.


Save an unfinished checklist

1. Leave the Checklist

Leave the Checklist before submitting it. The Leave Checklist dialog asks: Would you like to store the current checklist progress?

2. Name your progress

Optionally enter a Name (optional), such as the area you reached, so colleagues can tell saves apart.

3. Choose where to save

Turn on Save progress in the cloud to save to the cloud, or leave it off to save on this device only. The app remembers your choice for next time.

4. Decide who can resume

With cloud saving on, turn on Allow others to resume to let colleagues continue it. Leave it off and only you can resume it, from any device.

5. Save

Tap Save in the Cloud or Save to this Device. A cloud save first uploads your photos and files (Saving Progress to Cloud) and needs a connection. If it fails, Error saving to the cloud appears: retry, or save on the device instead.

To throw your progress away instead, tap the red Delete button in the dialog, then tap Delete again at the Delete all Progress prompt.

🛑 Critical: Delete can't be undone in the app. If you resumed a cloud save, deleting removes that cloud save, so nobody can continue it.


Resume a saved checklist

Open the same Checklist for the same Location. If progress exists, Select Resumable Result lists it: progress on this device (phone icon, Saved on this device by) and cloud saves (cloud icon, Saved in the cloud by), each with its name, number of answers and when it was saved. Select one and tap Continue.

  • Start a new result starts from scratch and leaves the existing progress unfinished, which risks a duplicate. It isn't offered while this device holds progress for the Checklist.

  • Resuming a cloud save when this device also has progress asks you to confirm Resume from Cloud, because it overwrites the progress on the device.

  • After resuming a cloud save, Discard Changes in the Leave Checklist dialog leaves without saving your new answers and makes the cloud save available to others again.


How shared progress works

  • One person at a time. While someone has a cloud save open, it isn't listed for anyone else until they save it again, submit it or discard their changes.

  • Others only see cloud saves. Progress kept on a device, or still being answered, is invisible to other devices, so a colleague can start the same Checklist. Save to the cloud early to avoid duplicates.

  • Assignments are created when you save. Assignments raised in the Checklist are created in Mobaro when you save to the cloud. Ad Hoc Slot triggers only fire when the Checklist is completed. See Adding triggers to a checklist.

  • Validation and certification. Validating a Result or completing a Certification Process can only be saved on the device.

🛑 Critical: Saved progress isn't submitted. When a Calendar or Ad Hoc slot ends, its cloud saves can no longer be resumed and the Checklist becomes a Missing Result, which can leave a critical Location not ready. Continuous Checklists don't expire. See Approving or rescheduling missed Results.


Settings your organization can change

Super Users or a Role with Organization › Administrate can change these for everyone in Configuration › App Settings:

  • Disable saving locally: progress is always saved to the cloud; Save progress in the cloud isn't shown.

  • Disable "allow others to resume": Allow others to resume is hidden, so only the person who saved can resume.

  • Disable starting new when resumable exists: Start a new result is hidden when a cloud save exists (anyone's for Calendar Schedules, the User's own otherwise).


Best practices

  • Name your progress when you save, so colleagues can pick the right one from the list.

  • Save to the cloud with Allow others to resume at every handover, rather than leaving progress on a shared device.

  • Submit as soon as the Checklist is done; saved progress doesn't count towards the deadline.


Frequently asked questions

Can two people work on the same checklist at the same time?

No. Only one person can have a Checklist open. To share the work, take turns: save to the cloud with Allow others to resume on, and the next person resumes it once you've left.

Why could a colleague start the same checklist while I was still working on it?

Other devices only know a Checklist has started once it's saved to the cloud. Save to the cloud early, and ask your administrator about Disable starting new when resumable exists in Configuration › App Settings.

I can't find a checklist I saved. Where is it?

Open the same Checklist for the same Location to see Select Resumable Result. It won't be listed if it was saved on another device, saved without Allow others to resume by someone else, is open on another device, or its slot has ended.

What happens to a saved checklist when its deadline passes?

For a Calendar or Ad Hoc slot, it can no longer be resumed and becomes a Missing Result. Whoever handles missed Results can reschedule it and tick Allow assignees to continue unfinished results to keep the answers. See Approving or rescheduling missed Results.

Can I stop staff from letting others resume their checklists?

Yes, for the whole organization, not per Schedule or Checklist. Turn on Disable "allow others to resume" in Configuration › App Settings. Disable saving locally also forces saves to the cloud.

Can I get back progress I deleted by mistake?

Not yourself: Delete can't be undone in the app. Contact Mobaro Support as soon as possible with the Checklist, Location and time; they may be able to restore it.
