Report selection guide — picking the right report for the job

Pick the right Notification Rule — Result, Summary, Operations or Work Forecast Report, or Availability Notification — by question, audience and example.

Overview

Mobaro can send five kinds of automatic reports and notifications: Result Reports, Summary Reports, Operations Reports, Work Forecast Reports and Availability Notifications. They answer different questions for different people. This guide helps you pick the right one — by question, by audience and by example — and avoid the patterns that cause report fatigue.

💡 Why this matters: The wrong report for the audience gets ignored — too detailed, too aggregated or too late — or gets acted on using the wrong signal. A Summary Report counts activity across many Checklists; a Result Report sends the full record of one. Picking the right one once saves recipients time every week.


The five report types

When the Checklists become available

They don't share recipient settings. A Result Report goes to the Result's assignee, reviewers, the Location's email address or BCC User Groups. Summary, Operations and Work Forecast Reports go to the Recipients you add. An Availability Notification has no recipient list: it goes to the assignees of the Schedules you pick.


Pick by question

  • "Send me each Checklist record as it comes in." Result Report — when each event matters on its own: a failed audit, a safety inspection to archive, a record for a contractor.

  • "How is the team doing across many Checklists?" Summary Report — its View buttons open the Results behind the counts.

  • "Give me a recap of yesterday's operations." Operations Report — for parks logging operations in Mobaro, for example through RideOps.

  • "What work do I have this day, week or month?" Work Forecast Report — each recipient sees only work assigned to them or their User Groups.

  • "Tell me when a rare or critical Checklist opens." Availability Notification — for Calendar Schedules such as monthly walks or annual inspections.

Worked examples

Example 1: A failed audit needs attention within minutes. Setup: a Result Report with When a result has been received ticked, the audit under Limit to these checklists, and Only send a notification if the result’s overall score is below maximum. ticked. Put the compliance lead and Park Director in a User Group and add it under BCC; they must be members of the audit's Location. If the audit requires validation, tick When a result requires validation instead, as the received trigger skips it. Result: whenever the audit scores below full marks, both get the record straight away.

Example 2: A Park Director wants a morning recap. Setup: an Operations Report with Period set to Day, sent every day of the week, with the park's top Location Group as Targets and the leadership team as Recipients. Result: a PDF of yesterday's operations arrives early each morning.

Example 3: A maintenance team plans its week. Setup: a Work Forecast Report with Period set to Week, Start of Week Monday, sent on Monday, with the maintenance User Group as Recipients and its Locations as Targets. Result: each technician starts Monday with the week's Checklists and Assignments assigned to them or the group. The lead only sees the team's work if it's assigned to a group they're in.

Example 4: An annual inspection mustn't be missed. Setup: an Availability Notification with the inspection's Calendar Schedule under Limit to these schedules, and the inspection team User Group assigned on that Schedule. Result: the team gets a push as soon as the inspection becomes available.

Example 5: A department manager wants one weekly email. Setup: a weekly Summary Report with the department's Locations as Targets and the manager as a Recipient. Result: one email of counts each week instead of dozens of Result Reports; the View buttons open the details.


Patterns to avoid

  • Result Reports for everything, to everyone. Busy managers stop reading them, and the important ones get lost.

  • Using Summary Reports as audit records. They're counts, not records. Archive individual Results with Result Reports and the PDF.

  • Expecting the Operations Report without the add-on. If it isn't in the Create menu, it isn't enabled — ask your CSM.

  • Using Work Forecasts instead of the Backend. They're a snapshot at send time; changes after that only show in Mobaro.

  • Overlapping rules. A daily and a weekly Summary, a Result Report and an Availability Notification for the same people is noise. Pick the one that answers their question.

  • Vague rule names. "Daily report" says nothing. Use [Type] — [Audience] — [Scope], for example Operations — Park Directors — Daily Recap.


Best practices

  • Most teams combine two or three types: Result Reports for the few Checklists that matter individually, Summary Reports for routine roll-ups, and Work Forecasts or Availability Notifications for the people doing the work.

  • Use User Groups as recipients, so rules stay current as teams change.

  • Test a new rule with yourself as the only recipient before adding the wider audience.

  • Review your rules every quarter: people change roles and Checklists get retired. Disable rules you no longer need.

Frequently asked questions

How do I get completed checklist results sent to someone by email?

Use a Result Report with When a result has been received ticked, limited to the Checklists you want. That trigger skips Results that require validation; for those, tick When a result has been approved. See How to set up a Result Report.

Can I build my own custom report?

No. Each report type has a set format. You choose the Checklists, Locations and recipients; for Result Reports you also write the email text and pick a Report Template for the PDF. For your own views of the data, use Dashboards.

How can I get a report of downtime for the park?

The Operations Report includes operating hours and downtime, but it's an add-on your CSM enables. On dashboards, downtime widgets show it too — see Downtime on Dashboards.

Why don't I see the Operations Report when I create a rule?

It's an add-on. Ask your Customer Success Manager to enable Operations Report (aka 360-Park Report); it then appears in the Create menu. See Activating the operations report.
