How to set up a Result Report

Set up a Result Report rule to email Checklist Results: triggers, recipients, PDF attachments, limits, the below-maximum option and translations.

Overview

A Result Report is a Notification Rule that emails Checklist Results to the people who need them — the User who did the Checklist, its reviewers, the Location's mailbox, or whole User Groups. You choose which events send the email, who gets it, what it says, and whether the Result is attached as a PDF.

💡 Why this matters: A Result Report puts a completed Checklist in the right inbox automatically — the failed pre-opening inspection that needs a manager's eyes, the compliance record for the safety lead — without anyone exporting and forwarding it by hand.


Create a Result Report

1. Start the rule

Go to Notification Rules, click Create and choose Result Report. In the Rule section, enter a Name and, optionally, a Description.

2. Choose the languages

Under Languages, select the Primary Language. It's required, and the rest of the form only appears once you've picked it. Add Secondary Languages if you'll translate the email (see Multi-language reports below).

3. Write the email

In the Email section, enter the Subject (required), the Body and, optionally, a Report filename for the PDF. Use Insert Token to add details that change per Result — for example the Checklist name, the Location name, the performing User, the Result score, or a direct link to the report.

4. Choose the triggers

In Triggers, tick every event that should send the email. One rule can use several triggers.

A Result that isn't finished is saved online. It won't be triggered if others can't resume the Result.

When a result has been received

A completed Result is received. It won't be triggered if the Result requires validation.

When a result requires validation

A completed Result that requires validation is received.

When a result has been approved

A reviewer approves the Result.

When a result has been disapproved

A reviewer disapproves the Result.

⚠️ Heads-up: If a Checklist's Results require validation, When a result has been received never sends for them. Tick When a result requires validation (or When a result has been approved) as well. Editing a Result after it's completed doesn't send the report again.

5. Choose the recipients

Each recipient section has its own checkbox. For each one you can also tick Attach report to include the Result as a PDF, and pick a Report Template for its layout (Default if you don't choose one). See Creating and using Report Templates.

Who receives the email

Assignee — Send notification to the assignee

The User who performed the Checklist.

Reviewers — Send notification to reviewers

The reviewers set on the Result's Schedule who are members of the Result's Location.

Location — Send notification to location

The email address of the Result's Location.

BCC

The User Groups you list. Only members of the Result's Location receive it.

In BCC, one Attach report and Report Template setting applies to every group in the list.

6. Limit the rule

In Limitations, use Limit to these checklists and Limit to these locations/location groups so the rule only sends for the Results you care about. A Location Group also covers the Locations in its sub-groups. If you add BCC groups without these limits, Mobaro shows a BCC configuration warning before saving, because every matching Result would email those groups.

To send only when something fell short, tick Only send a notification if the result’s overall score is below maximum.

⚠️ Heads-up: The score option compares the Result's points with its maximum. A Checklist with no scored questions always has full marks (0 of 0), so with this option on, its Results never send. Use it only on scored Checklists.

7. Save

Save the rule. It's active straight away. To pause it later, select it in Notification Rules and click Disable; Enable turns it back on.


Multi-language reports

Each recipient gets the Subject, Body and Report filename in their own language when you've translated the rule into it, and in the Primary Language otherwise. To add a translation, select the rule in Notification Rules and click Translate. Change primary language swaps the primary language; the old one becomes a secondary language.


Best practices

  • Put the key facts in the subject with tokens — Location, Checklist and score — so recipients can triage from their inbox.

  • Always limit rules that use BCC groups to specific Checklists or Locations, so groups only get what's relevant.

  • For Checklists that require validation, send on When a result requires validation to reviewers and on When a result has been approved to everyone else.

  • Attach the PDF only for recipients who need the full record, such as a compliance group; a plain email is enough for most people.


Frequently asked questions

How do I get an email every time a specific checklist is completed?

Create a Result Report, tick When a result has been received, add the Checklist under Limit to these checklists, and choose recipients — for a team, add their User Group under BCC. If the Checklist requires validation, tick When a result requires validation too.

Can I get an email only when a check fails or scores low?

Yes, when it scores below full marks. Tick Only send a notification if the result’s overall score is below maximum. You can't set your own threshold, and Checklists without scored questions never send with this option on.

The report email didn't arrive. What should I check?

Check that the rule is enabled, that its triggers match the Result (validation stops When a result has been received), that its Checklist and Location limits include it, and that BCC recipients are members of the Result's Location. Mobaro Support can check delivery for a specific Result.

Will editing a completed result send the report again?

No. The report is sent when the Result is first completed, and again only on the triggers you ticked — for example when it's approved or disapproved. When progress is saved online sends each time unfinished progress is saved.

Can different recipients get different attachments?

Yes. Assignee, Reviewers, Location and BCC each have their own Attach report and Report Template setting. All groups listed under BCC share one setting — use a second rule if two groups need different PDFs.

What's the difference between a Result Report and a Summary Report?

A Result Report emails individual Results as they happen. A Summary Report emails activity counts on a daily, weekly or monthly schedule. See How to set up Summary Reports and the Report selection guide.
