What you need before you can schedule a Checklist

The three things every Schedule needs — a Checklist, a target and an assignee — plus asset targets and who can create Schedules.

Overview

Creating a Checklist doesn't make it available to anyone. A Schedule is what publishes it to the mobile app, and every Schedule — Calendar, Continuous or Ad Hoc Slot — needs three things: a Checklist, a target and an assignee.

💡 Why this matters: Most "my team can't see the Checklist" questions come down to a missing ingredient — no assignee, the wrong target, or an assignee without access to the target Location.

In Where?: Applies to (Locations/Location Groups), or Assets if your organization schedules for Assets.

An assignee — who completes it

In Who?: Assigned to (Users/User Groups).

🛑 Critical: Assignees who aren't members of a target Location — directly or through a User Group — can't see or complete the Checklist there, even though they're listed in Assigned to. Check Location membership before you rely on a Schedule for a pre-opening or safety check.

Calendar Schedules and Ad Hoc Slots also need a slot: their Checklists can only be completed while a slot is open, unless Allow early start is on.


Schedule for Assets

If your organization has Scheduling functionality for assets, the Where? section shows a Target type: Locations or Assets. With Assets, you first pick Locations — these are only used to choose which Assets you can select — and then the Assets.

⚠️ Heads-up: Switching Target type clears data. Switching to Assets clears the selected Location Groups and Exclusions; switching back to Locations clears the selected Assets. If there's anything to clear, Mobaro asks you to confirm first.


Reviewers and Owners

Reviewers and Owners are optional, but plan them in. Reviewers validate Results and handle Missing Results. Without Reviewers, only Super Users can — Mobaro warns that scheduling without reviewers "is not a recommended configuration". Owners can manage the Schedule later. Who can create a Schedule

Only Super Users and Users whose Role has Schedules › Create can create Schedules. Being an Owner of a Schedule, or having Schedules › Modify, lets you edit existing Schedules but not create new ones. See Set up Roles to manage permissions.

Best practices

  • Assign User Groups rather than individuals, and make sure those groups are members of the target Locations.

  • Add Reviewers, ideally User Groups, to every Schedule that needs validation or Missing Result handling.

  • Decide on Locations or Assets before you add targets, so switching doesn't clear your selections.


Frequently asked questions

How do I make a checklist visible to users in the app?

Schedule it. Go to Schedules, click Create, add the Checklist in What?, the Location in Where? and the users in Who?. See How to schedule a Checklist.

I scheduled a checklist, but my team can't see it. Why?

Usually a missing ingredient: they're not in Assigned to, they're not members of the Location, or no slot is open yet. See How to schedule a Checklist for the full checklist.

Can I schedule a checklist on an asset instead of a location?

Yes, if your organization has Scheduling functionality for assets — ask your CSM. In Where?, set Target type to Assets, pick the Locations, then the Assets.

I chose Assets, but it still only offers locations. What am I doing wrong?

Nothing. With Target type set to Assets, you first pick Locations. The Asset picker appears once at least one Location is selected, listing that Location's Assets.

I'm a schedule owner. Why can't I create a new schedule?

Owners can edit their Schedules but can't create new ones. Creating needs Schedules › Create in your Role, or Super User access.
